TCC Meeting Minutes
February 10, 2009

10:00 am. Carol Woodley agreed to apply for Frances Rawski’s position.
Minutes
: John Austin requested a change on the second page, second
paragraph, add “for us” after “David Timmons would be happy . . .” Debi
requested a change on the second page, first paragraph, removed “Inn’s.” Joy
moved to approve the minutes with the recommended changes. Bill seconded.
Joy moved to appoint Carol Woodley to take Frances Rawski’s position on the
TCC subject to approval of absent members. Bill seconded.
The motion for the minutes passed unanimously. The motion to appoint Carol
Woodley to the TCC passed unanimously.
Bike Map – David McCulloch
Started in 2003 by Enhancement Grant from Jefferson County, originally 60,000
maps were printed, half for Clallam County and half for East Jefferson County.
Legends describe road conditions and includes safety information. This info is
online at PTBikes.org as full size maps and in sections.
Maps cost approx. $.24 each printing in volumes of 15,000, for total cost of
$4,000. David McCulloch left at 10:40 am. This matter was moved to the next
meeting.
Leader – Scott Wilson
Discover Your Own Backyard
- Before the Bridge closes, the Leader will
publish “Discover Your Own Backyard,” which will cover Port Ludlow to Forks,
distribution thru direct mailing and inclusion with the newspaper. Each week,
Jefferson County residents spend $2 million dollars who cross the bridge to shop.
New “Getaway Guide”
– Will be printed on better quality and whiter paper than
last year, Scott would like this to become our Travel Planner, which includes
more details than the PT-JeffCo Travel Planner. Christina would like to put this
on DVD, which would mail for one first class stamp. The content for the DVD is
included in Scott’s Estimate, but not the cost for the technical work or printing the
DVD itself.
If TCC does this, the Leader will work with TCC to designate pages to each
region to make sure that each area is better represented than they were in the
last issue. There was general agreement that the Getaway Guide was a more
useful publication than PT-JeffCo Travel Planner. There was discussion about
how to get through the rest of the season before the Getaway Guide is printed
via using the PT-JeffCo Travel Planner for mailing, and last years Getaway
Guide to give out the VCB’s, or some combination of that.
Leader’s Custom Piece
– Will go to Olympia, Gig Harbor, Portland with a
travelogue up the canal through the County to Port Townsend. Numbers and
costs are not yet determined, which depends on number of pages printed. Scott
thought this would be very effective during the closure and would keep people
coming to the Peninsula. There was discussion about whether to concentrate on
PT/JeffCo or to look at Tourism Commission to represent the whole Peninsula.
Christina will work with Diane to look at using this piece as a regional marketing
piece.
Shortfall on Travel Planner
We will use the Travel Planner as a fulfillment piece only until we run out in about
three weeks, will then use OPTC planners after that in addition to using last
year’s Getaway Guide until June 15 when the new Guide is printed.
Bill Roney made a motion to split the cost of $19,550, of the Leader’s Getaway
Guide, plus any additional distribution, with Port Townsend, pending determining
the final details of how many copies go to each area. Joy seconded. Motion
passed unanimously. Scott will meet with a subcommittee of the TCC to discuss
content for each area.
Commissioner’s Update – John Austin
John brought a great article on Port Townsend that was in the Olympian recently.
John announced that Old Fort Townsend will not be kept open and to let your
three legislators know if you are unhappy about that. John also suggested
contacting Nancy Steinberg, Friends of Old Fort Townsend, who is trying to get
more support.
John presented the latest Hotel-Motel Lodging Tax figures and historic graph.
December figures are rather close to past numbers.
ACTION: John will email theses pages to Kitti to distribute to the members,
and will email these each month to be distributed before each meeting.
Coho Magazine – Christina
A hard bound, four-color glossy magazine is handed to each passenger who
crosses between Port Angeles and Victoria on the Coho. It has a 12 month life,
cost of $4,500. Looks like Islands Magazine. It comes out in early April. TCC’s
cost would be about $2,200.
Spring Marketing Campaign – Debbie Black
Two proposals were presented and the difference is the choice between the
Journal Newspapers and AAA Magazine, which will have an article on the
Waterfall Trail in June’s issue. AAA Magazine is distributed in entire state of
Washington and Northern Idaho.
The main points of both proposals are that the woman (Stubbs) whom we used
last fall will again do a tour, this time to the West Side of the Peninsula, possible
overnight at Kalaloch, possibly including Twilight, and maybe doing interviews
with vendors. Will make podcasts of her webpage for visitors to click on. Will do
three weeks of live endorsements that will drive people to the website, will
promote our overnight giveaways.
New this campaign – KMPS has started a text club on Tuesdays. Every hour for
a total of seven hours, will be an opportunity to text to win an overnight giveaway.
We will need seven overnight packages to give away for one day of text club,
with the option to give away five more in the evening with a different DJ. Each
person who enters will get a Thank You on screen after they enter. This is an
extra opportunity to advertise. This is described as kind of a filter. People who
respond have a real interest in coming to your destination.
Email Blast – Can also have a drawing and KMPS will handle that.
Seattle Half Off (Same as Meals and Deals, but retitled)– Encourages packages.
Would rather not have restrictions, but are able to have restrictions and blackout
dates. Sold out signs will be place on website when packages are sold. Will be
advertised on five KMPS family stations. (It was decided to save this for the fall
campaign.)
KING – Sean McClain, a big fan and advocate of the Olympic Peninsula, would
do a series of live endorsements. Also have an opportunity to contest with KING,
“Favorite memory of the Olympic Peninsula.” Winner will get an overnight
package.
Journal Newspapers – We have the opportunity to contribute an article. June’s
issue is focusing on gold courses and outdoor opportunities.
Seattle Dining – Clallam is partnering with us. March thru June.
Joy made a motion to accept Proposal #1. Anna seconded. Discussion about the
cost split between TCC of $17-18,000 and the Bureau of $13,000.
Live Endorsements – Deadline for packages March 15 for an offering in the first
week of April.
Junkets – Deadline is March 15 – Diane will set these up for Twilight and the
West Side.
Financials: Joy moved to approve financials as of 2/9/09. Bill seconded. Passed
unanimously.
Funding Process Update – Debi did rewrite the contract with Jefferson County
and turned it in, which the county accepted and finalized. Funding will continue
from the county in 2009, the same process as 2008.
Tourism Commission – Diane
Looking at proposals for the website, with a conference call at 1:30 on Friday to
determine the final selection process with the web committee. March 2 & 3,
website proposals will be presented. Bill Roney volunteered to attend the
presentations, which will be at the Inn at Port Hadlock. Diane reported on
meeting last Friday with Christina Pivarnik. Although there were various opinions
about the course to take, there was some consensus at the end of the day. All
entities were from Port Townsend except Diane, who represented the Tourism
Commission, and Debi who represented the TCC.
Olympic Peninsula Loop Culinary Association – Diane attended a meeting at
Ocean Crest two weeks ago. The Association is well on its way with a grant from
C-TED, a grant from Port Townsend, and with $5,000 from TCC. They are
looking forward to Grays Harbor and Mason County coming on board. They
adopted Bylaws and elected their Board members, with four members from each
county. Great progress was made.
Addition to the Agenda
:
Rod Davis from PT requested that we partner with PT on a website that
promotes riding the ferry for free, to be paid by the lodgings that the visitor stays
in. Rod requested that TCC pay half of the $1,000 website building fee.
Discussion. It was decided that the TCC would rather support the Tourism
Commission’s “No Bridge, No Problem” website rather than start another one,
since the TCC is already supporting their own spring campaign website which
focuses on the promotions during the bridge closure, and OPTC’s site.
East Olympic Peninsula Lodging Guide
– Joy feels the Lodging Guide should
be changed back to the way it was to show B&B’s in the South County separate
from the other lodgings. Discussion about how that happened and how to change
it back to the way it was.
Anna invited the TCC members for a FAM tour of the West Side in April.
Discussion about date. Date will be determined later.
