Friends and Others: John Austin, Diane Schostak, Christina Pivarnik, Rick Seplar, Kitti deLong Unexcused: Anna Matsche Minutes for January 12, 2010 Bill made a motion to approve the minutes as written. Lisa seconded. Motion passed unanimously. Minutes for February 16, 2010 Frances made a motion to approve the minutes as written. Lisa seconded. Motion passed unanimously. Financial Reports for February 16 and March 9 It was agreed the name of the Budget will be changed to the Financial Report. Chuck moved to accept both reports. Pam seconded. Motion passed unanimously. Commissioner’s Update – John Austin 200 acres around Beausite Lake and adjacent to Gibbs Lake have been taken off the timber cutting roles and will be added to Gibbs Lake Park. Timber sales are at a low and County will try to do a trust fund and transfer. The LTAC reports were not yet available at time of this meeting. However, the Hotel/Motel Tax revenue for January of last year, 2009, was $16,089, January of this year is $10,732. For February of 2009, tax revenue was $27,998, while for February of this year, was $21,729. ort-2-Fort Bike Ride - Rick Seplar F One hundred percent of the Bike Ride proceeds go to Fort Worden through Friends of Fort Worden (FOFW), who have paid for a lot of things that the State Parks won’t pay such as repairs on the Officer’s Row, doggie bags, etc. The Fort-2-Fort has been co- sponsored by OPVB to attend the Bike Expo on Pier 91, which attracts 15,000 people. The ride goes from Fort Worden to Old Fort Townsend and Fort Flagler. Diane had a small amount of unspent funds in the co-op and paid $225, which was half the cost of going to the Expo. The website has sample routes for all three of the bike rides for Fort- 2-Fort. Tourism Commission Update – Diane Schostak OPTC has approved a schedule of $31,000 on top of normal year-to-year marketing. OPTC has signed on for ads in Sunset Magazine, Portland Magazine, Seattle, AAA, and Journey. OPTC is subscribed through co-op to MAD and Media Banners. OPTC also supported the Victoria co-op and has hired Bill Eisenhower to coordinate. OPTC also has approved $5,000 to support this Spring campaign with TCC. In addition, they approved putting ads in Travel 50 and Beyond, which generated 3,500 reader responses. OPTC also contributed $5,000 to the Chetzemoka launch. The Senate bill has been approved for $2 million, which cuts the state tourism budget in half. OPTC has had a request to put in a proposal for NW Outdoor Writers, and has hosted film scouts, and also has been invited to Vancouver, BC, for a media reception. NW Economic Region was the sponsor, representing Idaho, Washington, Montana, Oregon, and several western provinces. Pad Map Update – Bill Roney Bill presented black and white mock-ups of the proposed pad map. Questions he asked included: Should we produce them folded or on pads? Last year we had almost 10,000 requests for folded maps in fulfillment. After discussion, it was decided to produce 60% folded maps and 40% flat maps. What to put in empty boxes on map? A drop-dead photo (let graphic designer decide), Thumbnail of where Jefferson County is in Washington State; put website address on bottom of front box; reduce size of key lettering; put regional indicator down by key. On back: include the farms and nurseries together (the ones that invite the public); wineries and cider mills together; marinas, golf courses and museums. Will use a symbol and a number to identify. Will have just the names of farms because there isn’t room for addresses. VC’s would transfer from back to lower box on map front. Past in-depth info for fishing and lakes will have to be deleted because there isn’t room. Will now use just the legend for fishing lakes on the map, since it was rare that people asked for information from the VC’s about fishing lakes. Add Kalaloch VC. Add Jefferson County Public Works to Jefferson County Parks and list phone number. Jeff will let Bill know whether Hadlock VC will be included. Change Map Inset title to: West End of Jefferson County; in center of inset map, add Rainforest, Hoh, Queets, etc. Remove copyright legend on bottom of map with Dan Youra’s name. Olympicpeninsula.com vs olympicpeninsula.org – Diane We are using the .org site. We will keep the visitolympicpeninsula.com site for now because cost is minimal and we will direct people to the .org site in our promotions. Tracking for the promotions, though, will be done through the .com site. Diane, Frances and Rick Seplar left at 11:35 a.m. Spring Campaign – Debbie Black Report is attached. For KING FM’s Gift Basket Promotion, they wanted a Spring outdoor getaway. That promotion will be on the air and also on the contest page. King FM representatives will attend the Cycling Expo on March 13 & 14 and also a promotion at the Seattle Symphony event. Visitors to the booth will have the opportunity to sign up for the gift basket. We were not able to get into the Fly Fishing magazine until summer, but it might be a better use of that money to use it in the areas of cycling and diving now. It seems like it would be a better idea to focus on two markets rather than adding fly fishing. It was agreed to drop the fly fishing. We can not do wines as give aways in our promotions. We need to find a restaurant who will donate five certificates. We need one overnight stay and a dinner, and hopefully an acitivity. Promotion opportunities: Debbie can contribute an article for the Cascade Courier and has a confirmed opportunity to contribute an article for the May Journals. Website Drawing – We need a package with overnight stay and dinner. Dive Presentation: Had a conference call with divers to identify top five sites. Don Coleman has agreed to let us use any of the photos on his website. John Gussman has water marked his photos, but will let us use them and he doesn’t think that will be an issue. Other divers will send photos to John Gussman. We are still in the data collection stage. Debbie would like to set up at least one dive FAM tour and one cycle FAM tour. The Dive FAM Tour would be a shore dive; we need a dive leader who can take a dive group out on a trip. We also need stays and meals. We need to be able to invite the families of the divers along. Diane requested that we add on day of diving in both Port Townsend and Port Angeles. Discussion about the fact that dives on the Canal require a boat. The question is whether or not there is a dive leader who has his own boat, or maybe a charter may be able to give a discount in price. The Cycling Fam Tour will be set up so attendees can experience different terrains. We will probably need a facility that can handle a group, or a set of vacation rentals. KING FM Fun Facts – We need lodging donations now! April 1 is the deadline. KOMO Grab Bag – April 9 is the deadline. Action Item: Debbie will send a set of bullet points on email listing what we need. Change of Place between Mari Phillips and Lisa Brush. Joy made a motion to change Lisa Brush to Board Member and Mari Philips as Alternate. Bill seconded. Motion passed unanimously. Regional Promotion for Chetzemoka Ferry Launch – Christina Yesterday’s PDN had a very nice color photo of our new boat. The City of Port Townsend has worked with national PR firm Hill & Knowlton over the past few years and asked them to create a promotion for the launch of the Chetzemoka ferry this summer. The focus of the promotion is to build awareness and excitement about the new ferry with its improved, reliable access to the Olympic Peninsula and the north sound. The marketing promotion is planned to capitalize on the cultural significance of Chief Chetzemoka for the area. It will include a teaser campaign to build a little buzz centered around Who is Chetzemoka? then will evolve into a pre-launch campaign around What is Chetzemoka? that speaks to the spirit of the chief and celebrates the Native American culture and history of the region. It’s planned to culminate in Where is Chetzemoka? as part of the launch and addressing the new ferry’s increased access to the Olympic Peninsula and Whidbey Island. Over the past month or so, Christina has been engaging partners to participate in the promotion, including the tribes. In order to get the best return for our collective investment, she estimates it will cost roughly $65,000 for the full promotion. It will go to the Jefferson County Chamber of Commerce board tomorrow and Christina is hoping for about $5,000 from them. She will be meeting with the Lower Elwha Klallam tribe, Washington State Ferries and the folks from Whidbey Island next week to request additional resources. Christina put forth a request to TCC to use the $4,000 from the money set aside for the lure brochure with Port Townsend that we decided we weren’t going to produce now. Amanda hung up at 12:15 pm. There was discussion about using part of the $4,000 budgeted for the lure brochure. Bill felt we should hold a little in reserve because we don’t know how much the Pad Maps will cost with all the additional unplanned changes. Lisa made a motion to commit $2,000 to the Chetzemoka ferry promotion. Pam seconded. Motion passed with Chuck voting no because he felt we should give more. Because we ran out of time, Christina requested to be earlier on the agenda next month to be able to report on City LTAC marketing activities, which we missed at this meeting and last month. Meeting ended at 12:43 pm. Next meeting will be on April 13, 2010.
