Minutes, 4-13-10 Lisa made motion to approve the April Minutes as presented, Miriam seconded. Motion passed unanimously. Financial Report, 5-11-10 There were seven invoices presented for payment for May: 2010-08 OPTC, Joint Marketing Contract $2,090.60 2010-09 Your Media, Pad Map Changes 850.00 2010-10 Culinary Loop, Support 4,000.00 2010-11 Leader, Lodging Guide in Getaway 1,500.00 2010-12 OPVB, Portion Spring Campaign 3,799.43 2010-13 Coordinator’s Services 764.64 2010-14 OPVB, Portion Spring Campaign 5,823.00 Total Invoices for May are $18,827.67. Miriam made a motion to approve the expenditures and the Financial Report. Lisa seconded. Motion passed unanimously. Additions There were no additions to the agenda. Commissioner’s Update – John Austin Falls View water system: The Forest Service is putting in a grant application to complete the water service. That improvement will improve the campground from grade D to a full-service campground. Make Waves continues to make presentations to the transit authorities on which sits the three County Commissioners. John thinks it will be approved. There is a lot of opposition to building at Kah Tai but Make Waves is doing their homework. John feels the proposed pool will be a positive feature in the community. Jefferson Equestrian Association has done a good job presenting to the County Commissioners in support of the Equestrian Park. The expectation is that it will be a revenue-driver for the County. Most of the reasons against the park have been answered. Board Member Change TCC has received a formal letter from Anna Matsche appointing Diane Schostak as her Alternate. Bill made a motion to approve this alternate. Miriam seconded. Motion passed unanimously. OPTC Update – Diane Victoria Marketing Program: We are about 60%, or more, sold now. We have until next Monday to decide. There is a Scandinavian Tour Operators FAM coming; also four writers. Washington State Destination Marketing Organization: The annual $4 million budget has fallen to $1.1 million. They are trying to mitigate that a little. We need to get the tourism budget out of the reach of the legislators by designing an assessment, which is not under the control of the legislators. A tax is within reach of the legislators. There was discussion about possible ways to design committed funding for the tourism industry, which brings in an amazing amount of income for the communities on the Peninsula. A Tourism Promotion Area was discussed, which needs to be specifically approved by the legislature, and needs to be approved via interlocal agreement. Many areas in the State use that system. PT LTAC – Christina This week is National Travel and Tourism Week. Seattle VCB is doing a lot to promote that and is doing a big Open House on Thursday. Port Townsend is a member of Seattle VCB and requested that Christina attend. She did a presentation there recently, and everyone was excited about the possible passenger ferry from Seattle to Port Townsend. Seattle VCB felt that they have an enormous opportunity to market that. People who are visiting Seattle want things to do, often don’t have transportation, and would like to come to Port Townsend. The Port Townsend-Keystone ferry route will have a name-change to Port Townsend-Coupeville ferry route, but is not final yet. Seattle-Port Townsend Ferry: Seattle VCB will write a letter of support for this, as will major hotels in the Seattle area. Port Townsend is reprinting their sepia-toned PAD Map. Also is working on the lure brochure to put in racks in Seattle VCB, at Seattle’s request. The state-wide Mainstreet conference is coming into Port Townsend next year. 200- 300 people will visit downtown Port Townsend. Transgender Conference is coming to Port Angeles next week and will come to Port Townsend for a day. Have hosted quite a few travel writers, including one culinary writer. Christina, Peter Becker, Gloria and Diane have interviewed candidates for the Culinary Loop Ad Min. The Olympic Culinary Loop board meeting was at Fort Worden with 15-20 people. John Austin left at 11:00 am. Chetzemoka Promotion: Are at about $40,000. Whidbey is expected to contribute about $10,000 with all their partners. Jamestown added $3,000. There has not been an answer from Washington State, yet. Will be doing banners here. Will explore the smaller banners on Whibey as in PT. Is waiting for commitment from the final partners. Joy announced that we have a budget problem because of the Leader ad for $1,500, and we are over budget. Christina stated that we wouldn’t know how the Chetzemoka Promotion is going until late August or September. Any decision on TCC budget was delayed until more information is in. Spring Campaign Update – Debbie Black Report is attached. See the dive website at PADI.com. Budget Status – Debbie Black Report is attached. We were not able to get volunteer video for the specific sites that we want to promote. We have had some cost increase by increasing the size of the NW Cyclist ad and have made a contribution to the booth at the National Bike Expo of $250. Have also changed the initial PADI ads to increase the impact. Have decided not to place the Fly Fishing ad at this time, since it would appear in summer. That all freed up funds. Then there was an overage in the layout for print ads, and Debbie forgot to figure in her time for vendor outreach and giveaway support. That all leaves us with $3,100.50. There are several things that have not been done, such as the FAM tour for the divers and cycle buffs, and the marketing email letters to dive and cycling groups. For those two activities, it would require 22-25 hours, which would cost about $1,600 to $2,000. If those were taken from the overage, there would be about $1,075 to $1,450 left. That could be used to hire a diver in the fall for the next segment of the dive video. Diving on the Olympic Peninsula offers a different experience each season. There was discussion about the variables in making this decision. The general consensus was to go ahead with the FAM tours and the marketing letters and save $1,450. We will limit the amount we spend on FAM tours and letter writing to $1,650. There is a temporary hold until we see where we are with the Spring Campaign. Diane made a motion to approve the adjustment and tie up loose ends on the Spring Campaign. Miriam seconded. Motion passed unanimously. PAD Maps – Bill Bill presented the latest version of the PAD Map, which is beautiful. There were a number of typos that Dan missed, and those will be fixed. Bill will see if Dan can send Diane a PDF of the map. Any changes or corrections need to go to Bill by email. Changes: We had to downsize. Remove questions marks at Park entries. Diane asked if anyone had had a conversation with the farms or farm reps to see which farms were open to the public. Joy thought that all farms on the map are open. Diane left at 11:20 am. Bill would like to have a final sign-off by one week from now. Discussion about farms and wineries listed on PAD Map needing to be open to the public. Bill stated that we will print 5,000 PAD Maps flat and 20,000 folded. Meeting ended at 12:00 pm. Miriam made a motion to adjourn. Chuck seconded. Passed unanimously.
