Excused: Chuck Russell, Francis Rawski Friends attending were: Christina Pivarnik, John Austin, Jennifer MacGillonie, Kitti deLong Unexcused: Amanda Lovelady Discussion about problems of lack of quorum, possibility of reducing quorum to four, and how a split vote would work? We can now email a vote so if we do have a split vote, we can ask for an email vote to break a tie. Diane felt that it isn’t a good idea to reduce numbers. John suggested that maybe Charlotte or Gary Peterson might want to serve as a West End representative on the Board, especially since we can now call in on the conference line to attend a meeting at a distance. New Board Member Miriam made a motion to invite Allison Willing to be a Board Member. Lisa seconded. Vote passed unanimously. Kitti will call Allison. Discussion about how often to have meetings. It was decided in principle that we would have quarterly, face-to-face meetings at the minimum, and to meet via the conference calling system in between, starting in January. January will be a face-to- face meeting, and that the quarterly meetings would rotate between areas. ACTION ITEM: Kitti will work with Diane to create a calendar showing the tentative schedule and will then distribute that to the Board Members. This matter was moved to the next meeting. Financial Report, 10-12-10 There were two invoices presented for payment in October: 2010-19 OPTC, Joint Marketing Contract $1,418.26 2010-21 TCC Marketing Coordinator 707.59 _____________ Total: $2,125.85 Lisa moved to approve the Financial Report as presented. Bill seconded. The motion passed unanimously. Minutes, 8-10-10 There were no corrections. Miriam made a motion to accept the Minutes as presented. Diane seconded. Motion passed unanimously. Additions John Austin introduced Jennifer MacGillonie from the Jefferson County Chamber. Commissioner’s Update – John Austin RE excise tax revenue and sales tax revenue in the County is much lower than previous years. However, the LTAC revenue for Jefferson County is about the same as in years past, even though RE excise tax and sales tax is “scraping the bottom,” and that shows how well this group is doing. Chetzemoka Ferry is coming on November 14. Commissioners have endorsed Proposition 1. If that passes, it will raise about $600,000 for the County and $400,000 for the City. City of Port Townsend will use one-half of the revenue for the next two years for Memorial Field and the Community Center. John is on the State Board of Health, which has cut down face-to-face meetings from 10 per year to three per year. No one is happy about that because they want to testify in person. Update of Rates on Lodgings – Bill We must get any changes of lodging info submitted in anticipation of printing the OPTC Travel Planner. Christina is going to send Lodging List to Experience Washington, was well. Bill will be point person for changes. Deadline originally was mid-October. Christina needs electronic master version. Discussion about updating. PT LTAC –Christina Chetzemoka Ferry will have its inaugural sailing November 14, and will go into full service the next day, November 15. Celebrations will be on-board the ferry. Governor Gregoire will do the christening on the Coupeville side. The S’Klallam/Klallam tribes will do a ceremony on the Port Townsend side. There is a media briefing day in Seattle Oct. 22. A promotion is planned for the holidays in conjunction with the PT Main Street program and Coupeville/Whidbey Island, targeting people on the I-5 corridor from Bellingham to Olympia. There is an opportunity to put an ad in the Leader’s special souvenir section on the Chetzemoka to welcome the new ferry. It was suggested by George Randels, Deputy Mayor for the City, to have the ad come from the City, County and Port. Ads range from $700 to $1200. Christina was wondering if TCC would like to take part in this ad to help fund the County’s portion. Deadline is end of the month. This matter was tabled and will go to the County Commissioners for further discussion. Family Portrait: This year, the family portrait will be at the ferry terminal with the Chetzemoka in the background. The City and Main Street are hoping it will be on Halloween just before the Downtown Trick-or-Treating. Salish Sea Fam Tour with Travel Writers: Have had 10-12 articles from that already. It’s been great to partner to the north with Whidbey Island and the San Juan Visitor Bureau. The tour started in Anacortes where the writers left their cars. They then took the WA State Ferry to San Juan Island, were there for a day and departed Friday Harbor via PS Express to Port Townsend where they spent a day and on to Coupeville, then headed north to Deception pass and back to their cars (4 days/3 nights). There is a TV crew from Channel 12 KVOS out of Bellingham coming tomorrow to film PT for “Experience NW.” At the PT LTAC meeting this afternoon, Christina will be discussing a draft marketing strategy and budget for 2011. Key things: want to take advantage of the Chetzemoka, and the Salish Ferry in the spring (great for bicyclists). Continue with the Conference and Visitor Bureau (CVB). Part of the LTAC funds that go to the VIC/Chamber will include a part-time person to help with events and CVB activities. The goal is to bring in more people during the shoulder season of October through April and Monday through Thursday, with groups of 150 or less. Will have grant money from Preserve America for the Way Finding project. Christina is working on that with the City. There’s an opportunity to partner with Microsoft on their new “tag” program which is the latest 2-D bar code technology, allowing people with Smart Phones to access layers of info, including photos and video. Port Townsend would be one of the first cities in WA to use it. Only two cities world-wide have used this system: Turin, Italy and one city in Florida. Port Townsend hopes to be a “poster-child” for this technology as part of the Wayfinding Project. Fall Campaign – Debbie Black Report is attached. OPTC – Diane Tourism Summit: Mary has a sign up sheet for volunteers. Port Townsend Chamber is putting on an after-hours mixer. Then in the evening, there is another after-hours mixer at Sirens. The Summit will be October 10 at Fort Worden. Diane ordered 300 backpacks for a really good price, and will use them for some lodging packages and promotions. The bill for the Waterfall Brochure reprint will be sent as soon as the Summit is over. There have been a lot of travel writers recently. Hurricane Ridge road will be open year around. OPTC is doing a study next year with the idea of doing an integrated campaign on a larger scale. Waterfall Brochure – Diane The money to reprint the brochure will be contributed by: TCC will contribute $4,000, and Grays Harbor County will contribute $2,500 of the $7,000 cost.
