Friends attending were: Christina Pivarnik Staff: Kitti deLong Unexcused: Amanda Lovelady Minutes, 2-8-11 There were no corrections. Allison made a motion to accept the Minutes as presented. Bill seconded. Motion passed unanimously. Financial Report, 3-8-2011 There were two invoices this month: OPTC $3,374.31 Coordinator’s Services 750.75 Total: $3,4125.05 Diane moved to accept the Financial Statement as presented. Bill seconded. Motion passed unanimously. Additions None. PT LTAC – Christina Pivarnik Have been doing work on developing CVB meetings and conferences group. Laura Brackenridge has been doing site visits to develop a meeting matrix that includes venues that would work to host receptions, theater, class room and banquet-style meetings. All public meeting spaces have been put on Webervations so we can tell what is available and what is not. We are now adding lodgings into Webervations. Are trying to book off-season with groups and conferences. Christina invited all present to a Chamber Mixer this evening at PTVC from 5:30 to 7:30 pm. This is a good opportunity for everyone to meet the volunteers. There is a huge amount of construction on Water Street. Christina encouraged people to come downtown to shop. Will do a post-construction celebration in mid- April. Commissioner’s Update – John Austin John Austin was in Washington, DC. And so was unable to attend. Joy announced that the LTAC meeting has not yet been scheduled. Joy reminded us that LTAC reports are due on March 31. Spring Campaign – Diane for Debbie Black Seattle Dining is excited about our promotion, which will cost the consumer $4.95 and they will get a map in a packet of information. Seattle Dining would like entrants to get the map in that packet and not find it in any other places. There are a lot of elements working in this promotion. Debbie Black is doing a good job coordinating. We are leading the way in Clallam and Jefferson Counties. Christina noted that the Culinary Loop Board Meeting will be held here in Jefferson County. The Board meets on the third Tuesday of every month. It looks like there will be a lovely reception on the evening of April 18 at the Resort at Port Ludlow with discounted lodging, with the Board meeting at the Commons at Fort Worden on April 19. There will be some farm tours, as well. Christina would like all of us to attend. Getaway Guide – Christina Scott Wilson offered us an opportunity for a 50% discount for an ad to place the Lodging List in the Getaway Guide. The City is taking advantage of that opportunity. Would Jefferson County like to include our portion of the Lodging List? The Leader will print 200,000 copies and will be placed on ferries and VCR’s in Seattle area. This would cost us $1,000. Bill made a motion to place our Lodging List in the Getaway Guide. Diane seconded. In discussion, it was determined that the motion would include an expenditure for a half-page, full-color ad for $450 in addition to placing the Lodging List in the Getaway Guide. Christina thought the Lodging List would also be online, and would include a link for everyone’s website. The motion passed unanimously. Allison requested, and it was agreed, that we check to make sure her business is included in the ad, as last year it was inadvertently missed. The deadline is Friday. Bill and Kitti will do the work on this. Christina will let Scott know that TCC has decided to take part in this. Activity Map – Bill We are down to two boxes of folded maps and one box of padded maps. Will send the draft of the map-in-progress out to members early this week and then will go to print. Dining has been added. In order to make room for that list, have eliminated zip codes and some other non-essential things. This map will be the insert that goes into the Olympic Peninsula Travel Planner. OPTC – Diane There are a lot of projects coming up. Travel Planner is at the printers two days early! The cover is purple and green. We are printing 90,000 copies and will have a color proof tomorrow. Will store our supply at Coho’s shop at ground level! Are moving forward on the Victoria marketing that includes four things: 1.An integrated marketing program with radio, newspaper, possibly TV, and more; 2.Take over of one of the sporting goods stores and stage a trade show to invite people to the Peninsula; 3.Community outreach through a booth at the Victoria Outdoor Show; 4.Marcia Massey will have a presence at the Pow Wow show this year. Have been starting to query larger properties first because tour operators will book rooms with them first. If they are interested in being represented at Pow Wow, Diane will take their cues to move forward in that. Last thing: We did sign up for the Concierge Show. Joy is going to represent us. Will take brochures and would like a basket for a giveaway. The Travel Planner is getting here about the 21 or 22. Are putting together bulk stnd mailing that goes out to the VC’s. Anyone who is interested can add their brochure and then can share the cost on mailing. New Business Joy stated that the National Park is getting close to starting work on Dose Road, then had their budget cut and now, do not have the money to do that work this year. This matter was forwarded to the next OPTC meeting for discussion and possibly to the BOCC. Bill made a motion that TCC compose a letter to the BOCC asking for speedy action in reopening the motel in Brinnon. Meri seconded. This matter passed unanimously. Meeting ended at 11:08 am. The next meeting will be April 12, 2011, at 10:00 am at La Push. The venue will be announced.
