Financial Report, 8-9-2011 There are six invoices this month: 1. WTA Annual Membership $ 300.00 Reimbursement to Joy Baisch 2. Olympic Culinary Loop 4,000.00 3. Coordinator’s Services 713.38 Total: $2,667.43 Bill made a motion to approve financial report. Allison seconded. Motion passed unanimously. Additions There were no additions. PT LTAC – Christina Pivarnik Wooden Boat Festival: We may have hit record high numbers during a really wonderful weekend. All lodging venues were full. Port Townsend is in the final stages of completing the website. Some videos will be added throughout the website. Christina has a meeting with David Timmons on Friday to look at the budget for 2012. Real Estate sales are way down and that is affecting the entire budget. Christina doesn’t know what that means yet. Are having the Salish Sea Fam Tour in partnership with San Juan Island Visitor Bureau and Whidbey Chamber next week. There are three travel writers signed up so far. Theresa Verraes: East Jefferson County website is now live, eastjeffersoncounty.com. Are looking for someone to handle content and will add to it in 2012. Port Hadlock is now up but not Port Ludlow. All sites will work synchronistically there. The Young Professionals group is going well and has recently had the first test lab. There is a link from the website. Commissioner’s Update – John Austin Hood Canal Coordinating Council was scheduled to meet at the Inn at Port Hadlock but no one told the Council that the Inn had closed. Now they will meet at the Resort at Port Ludlow. Jefferson County LTAC Meeting will be held on September 29 at 9:00 am in the first th floor conference room of the Courthouse. Rail Road Right of Way: The issue is routing of the bike trail. At the south end of Discovery Bay, there is a conflict between those who would like to tear out the old rail road right of way so there can be a more effective fish passage and those who would like to keep the old right of way rail bed to keep the scenic view. If you have a feeling about that, write to Phil Johnson. Al Scalf is retiring and will be working only two more weeks. Also, we must say farewell to Lorna who has been the Clerk of the Board for 28 years. She is retiring. John distributed LTAC revenue charts. This is about the worst August for Hotel- motel income and that is evidently because of the poor weather in June, when that income was generated. Bud requested to know what the general sales tax receipts were. Discussion about the effect of the closure of the Inn at Port Hadlock on LTAC income and general sales receipts. OPTC – Diane Diane forwarded to all of us the operations and reports. This weekend, Diane is doing a media center for the Elway Dam Removal. Diane has been involved with WTA who is working on transferring the website to the WTA. The Washington marketing organization will have a meeting and reception for WTA staff at the Adriatic Grill in Tacoma on September 29 with the meeting between 1-4:00, and the Reception at 5:30. Anyone who has worked with the organization and wants to attend, please let Diane know. China: Have sent travel planners, photos, information about the larger properties, etc. BJ will be representing us on the China trip. We are plugging along on the fall campaign and that is doing well. The Culinary adventure is a wonderful tie-in for all partners. It helps brand us as a culinary destination across all our counties. We have had a lot of nice media coverage. Fall Marketing Campaign – Debbie Black Status Update From 9.13.2011 Olympic Culinary Adventure The Olympic Culinary Adventure campaign is officially underway – and Seattle Dining has already been contacted by a 3 couples interested in exploring the route and playing Culinary Trivia! One couple was our grand prize winner last spring. The two plan to use their gift certificate for a 2-night stay at the Resort at Port Ludlow while visiting some of the new venues on the route. Seattle Dining is rotating 3 different banner ads throughout its website, and in addition has a static Olympic Culinary Adventure link on the homepage. Viewers can click and be linked to a web page describing each of the destinations on the route (with photos), and to the Culinary Adventure route map. Our first radio schedules are running this week on KWJJ 99.5 The Wolf in Portland, and on 88.5 KPLU in Seattle. Each station is rotating two ads, one of which is a dedicated Olympic Culinary Adventure spot. The ads drive listeners to www.olympicpeninsula.org for information on the Olympic Culinary Adventure. A web banner appearing on each page of the site links to the information hosted on SeattleDining.com. Three “training calls” were held in late August and at the beginning of September for the destination venues. An overview of the fall promotion was presented, and the importance of onsite promotion and staff awareness was addressed. Web banners were provided for posting on each venue’s homepage to link with the information on SeattleDining.com, as well as an electronic version of the printed promotional piece that each venue will receive. The venues were encouraged to “make the Culinary Adventure their own,” using their own creative ideas for keeping the promotion visible and alive on site. Venue representatives were told that “Mystery Shoppers” will be visiting each location during the 3-month promotion (members of the Olympic Culinary Loop Association) and rating each venue onsite visibility, staff awareness (i.e. do staff members know the answer to their venue’s trivia question), and the overall culinary experience. The venue with the highest rating will win a “celebration” of their success. I will be checking in with the venues every couple of weeks to see how things are going. Paid Advertising Schedule As mentioned previously, our first two radio schedules began airing this week. Ads will run for two weeks on The Wolf in Portland, and for one week on KPLU. A weeklong schedule on KING FM begins on 9/19. Three weeks of ads will run consecutively on KOMO AM/FM and KVI AM (9/26; 10/3; 10/10) followed by a 3-week schedule on STAR 101.5 FM (10/17; 10/24; 10/31). An electronic ad will appear in KOMO’s daily weather email for two-weeks in October. We will also have ads (and the opportunity to promote 2 lodging specials) in two e-blasts to KOMO and Star 101.5 listeners on 10/6. Facebook ads I will be posting our post our in the next week. Promotion Several vendors have contributed attractive packages for the promotional opportunities available through our radio partners. KWJJ 99.5 The Wolf Text-to-Win Promotion 1. (running now through 9/25). Prize: Overnight stay at Inn at Rooster HillGarden Café the with $50 gift certificate to the (both in Port Angeles). The contest is being promoted on-air, as well as in a dedicated permission-based email to 33,000 Wolf listeners. Oregon vs. Washington Contest 2. : On-air contest running the week of 9/19 Resort at Port with winner announced on 9/23. Prize: Overnight stay at the Ludlow ; breakfast for 2 at the Fireside restaurant; 18 holes of golf for 2 (golf cart included); kayak rental for 2. Star 101.5 Jill Taylor’s 80s Flashback 1. (on-air contest) to run week of 10/24: Five Resort at Port Ludlow identical packages have been provided by the , including an overnight stay, breakfast for 2 at the Fireside restaurant; 18 holes of golf for 2 (golf cart included); and kayak rental for 2. Battle of the Sexes 2. (on-air contest) to run the week of 10/31. Five identical packages including an overnight stay and dinner for two will be provided by the Red Lion Hotel in Port Angeles. We will not be able to take advantage of two additional opportunities – the Wolf Winning Weekend and the KOMO Deal of the Day, as we did not have sufficient vendor response to meet the minimum number required of packages (KOMO – 25; Wolf – 12 identical pkgs. plus a grand prize). Website Drawings (www.olympicpeninsula.org) Resort at Port Ludlow The has provided two additional packages (contents same as above) for two prize drawings to take place at the end of October and the end of November. 2012 Budget Request – Joy Discussion about why our budget requests are due at the end of September instead of at the end of October as has been the requirement in the past. New Hospitality Training – Joy Discussion about how the new venues, and even the experienced venues, do not know or understand what the TCC does for them. Christina stated that one of the teachers at the high school wants to do a hospitality class for students so they can be better prepared for summer jobs. She doesn’t know the present status of that possible class. Joy is working with 4H groups doing the same thing.
