Addition to the Agenda: None PT LTAC – Christina Pivarnik The Wooden Boat Festival just concluded—it’s the largest festival of the year and we had beautiful weather. It was a very successful festival, from what we could tell. Have had great media coverage, including an article in AAA Journey magazine, which was a year and a half in the works. It was a two-page spread featuring our art scene. That article mentioned the Wooden Boat Festival and also the Film Festival, which is next weekend. Whidbey Crosswinds magazine had an article about Port Townsend and the two festivals in September issue. This goes to all the military families and veterans on Whidbey Island. PT is encouraging the military to come and visit. Did a presentation to the USNS Charles Drew ship members, which had been out to sea for 10 months. Christina is part of the Washington State Ferries marketing team and they met in August. They’re developing a campaign for all the communities that have ferry service. The campaign is called, “Go Somewhere,” and the idea is to just get on a ferry to take a ride. Will hear about whether Port Townsend made it into the top 60 Prettiest Painted Towns by the end of September. Also had a film crew in Port Townsend for the last 10 days doing a spec series project about six cool small towns in America that they are going to try to sell to PBS or other cable channels. Also have a movie crew coming in to shoot an historical thriller in early October called, “A Person Known to Me.” They are hiring local actors and crew. Will be shooting in a lot of historic buildings. Are working with WA FilmWorks in Seattle, who featured Port Townsend as the ”Location of the Month” for filming movies and TV commercials. Teresa announced the Chamber is doing promotions for the FAM tours that are coming up. The constant contact mailing list is up to 2500. Are trying to do FAM tours each month, now. Volunteers at the Visitor Center are increasing. The member survey last Friday showed there wasn’t enough support for the Business Expo originally planned for Sept. 29, which will now be moved to May at Chimacum High School. The Wooden Boat Festival was really fantastic. The VIC was packed, all restaurants were packed, and it looked like there were more people attending this festival than had attended in the past. Commissioner’s Update – John Austin John inspected the Wooden Boat Festival from an 18’ Aluminum canoe and he felt like he was driving a Yugo! Someone suggested making more of the forest roads into bike routes between Port Townsend and Quilcene Bay. Joy stated that Jim Fritz would like to see bike routes and the equestrian routes be combined. Discussion. John stated this may be a good time to again request to get the Dose Road opened. This might be a good way for Norm Dicks to leave a legacy. Congress needs to hear from the local community that the road needs to be opened again and that it is not ecologically invasive. Discussion. The National Park already set aside their portion of the funding to repair the road so the hold up is with the Forest Service. Fawn Sharp called to say that the Beaches from Tahola north are closed to non- natives because there have been too many non-natives taking advantage of the beach rights. Diane suggested that the Lake Quinault community is a great place to start to try to make contact with them. Discussion. John pointed out that the General Sales Tax was starting to do better but is still below last year’s level. Christina asked how the General Sales Tax is effected when car sales occasionally come to the old Courtesy Ford lot. John told about a couple of experiences. There is also some interest expressed by the Jamestown tribe to put a business in there. Teresa stated there also is interest in that spot by WSU to put a food service there. Teresa will call Howard Ruddell to see what his interest is. Hotel/Motel Tax is up though not as high as it has been. Carol asked what the timing is for the Dose Road project with Norm Dicks leaving. Joy stated that the State government doesn’t understand the importance of that Dose Road access into the National Park. Discussion. Joy suggested that a local movement get started to let the Parks and State know. Christina reported that the last WTA Board meeting met with Jay Inslee, and at Thursday’s meeting, will meet with Rob McKenna. Are asking the same questions of both candidates about their views and support for tourism. Jennifer Lampe will be reaching out for print and on line info for houses that are available for a combined large sale during the month of October. Also is a Chamber Mixer tonight at the Gold Club with a trip to Las Vegas as the prize. OPTC – Diane Has been working on putting together the fall campaign with Debbie working off what we did in the spring. Have some great give-always for the radio promotions. WTA is working on a long-term funding solution for state tourism. Attendees at the last meeting included a broad section of the industry. Diane is optimistic and is hoping that we get some bridge funding from the Legislature this year to support this effort, or it will be another whole year without funding. One of the reports that WTA provides is the Travel Report. It is really not as valuable to us as the Dean Runyon Report, so Diane advises that we not do that report. Diane has had a meeting with the new GM for Kalaloch Lodge. The company called Delaware North is taking over Kalaloch Lodge on September 20. Diane has been working with their sales person, Alicia, who is in Iowa. They are contributing some things for the giveaways. Fall Marketing Campaign – Debbie Black Debbie’s full written report is included below following discussion. Status Report #1 Media Tour A small media tour along the Olympic Culinary Adventure route will take place on Tuesday, October 2 – Wednesday, October 3 stay in with an overnight Sequim. Participants will include food/travel/lifestyle writers from: AAA Journey; Northwest Travel; South Sound & 425 Magazines; Showcase Magazine;freelance travel writer and a . The tentative tour route, including stops from Port Angeles to Port Hadlock, was emailed with this report. Transportation will once again be provided by All Points Charters & Tours. Details, including budget, are still being finalized. Vendors have provided estimated costs for lodging and food. All vendors are pleased to be a part of the tour, and are willing to work with us. Print/Online/Broadcast Advertising Radio Warm 106.9 Our 2-week paid schedule on began yesterday and will continue rd through September 23. The two spots running in rotation this week were attached to this report. Our Star 101.5 FM 10/1 & 10/8 2- week paid schedule on will air the weeks of , KVI 570 AM10/15 & 10/22. followed by a 2-week schedule on the weeks of Online SoundRider.com, Seattle Dining’s sister publication, is currently running an Olympic Culinary Adventure banner ad on its home page with a link to a write-up about the culinary adventure that remains on Seattle Dining’s website. This banner ad is a carryover from the Spring marketing campaign. Seattle Dining.com Olympic Culinary Adventure banner continues to run our adssignature e-blast throughout its website. A promoting the culinary adventure will be distributed to SD’s 15,000+ subscribers during the week of SD’s October Special Advertiser Package 9/17. We will have an ad in , as well. Sound Publishing 9/10, Our 6-week advertising schedule with began on with two banner ads rotating throughout 3 geographic clusters of community Eastside publications: (Kirkland; Issaquah; Bothell; Bellevue; Mercer Island; South King Redmond & Snoqualmie), (Kent; Renton; Federal Way; Auburn; Whidbey Island Bonney Lake/Sumner; Enumclaw; and Maple Valley), and (North Whidbey; South Whidbey; and Military). Radio Promotion Giveaways: The Olympic Peninsula Visitor Bureau has shared information about The Resort all of the radio giveaway opportunities with its stakeholders. To date, at Port Ludlow5 Packages has confirmed that it will contribute (including overnight accommodations; breakfast for 2; kayaking for 2; and 18 holes of golf for 2) for a giveaway on Warm 106.9 the week of 10/22. The Resort will also contribute a package for Warm’s Magical Night of Giving event on 11/11. This package will include 2-nights’ accommodations; two breakfasts for 2; kayaking for 2; and 18-holes of golf for two with an electric cart. Puget Sound Express Spring Whale will contribute 5 pair of tickets for its Watching Tour, to be given away on Warm 106.9 the week of 11/19. Sequim’s Quality Inn & Suites will contribute 5 overnight stays, paired with Black Bear Diner breakfast for 2 at the for a giveaway on Star 101.5 the week of Dungeness Crab & Seafood Festival 10/1. The intent is to promote the Olympic Peninsula’s growing culinary industry, and share what travelers can expect to find when following the Olympic Culinary Adventure Route. If producers are Crystie Kisler of Finnriver FarmLissa James of Hama Hama interested, and Seafood will travel to Seattle to appear in the segment as industry representatives. KVI Radio 60-Second Interviews KVI has once again offered us the opportunity to extend our paid advertising schedule with a few “60-second interviews” that will air in a promotional rotation. I am awaiting confirmation on the number of spots we can do, and will then reach out to potential interviewees. Last, my ad rep at Fisher has added a number of promotional 15-second spots to “Sponsor Spotlight.” our broadcast schedule as part of Star 101.5 and KVI’s In these spots, our copy will run together with that of a couple other advertisers in a combined promotional spot. Have two new banner ads that have been attached to the emails that went out. We can use this almost like a logo. Can also use the “Slice of Fall” theme in the spring and hope to get a longer run out of this format. Allison got a call from one of the winners of last year’s give-away. The names were not filled out on the gift certificates. She is concerned that the radio stations are not putting in the winner’s names. Debbie will emphasize with the radio station directors that the winner’s names need to be placed on the gift certificates. Media Tour will be the first week in October. At this point, the tour is a little Jefferson County heavy and Debbie will try to change to include more Clallam County. We are waiting on confirmation of a potential shellfish presentation at Discovery Bay. Debbie has outlined an alternative schedule if the shellfish presentation does not pan out. The budget has changed this time compared to the Spring Media Tour. Last time, the rooms were donated. This time, we do need to reimburse for the rooms. We have budgeted $300 for rooms and have taken care of transportation. But we still need to discuss lodging. We have a $475.57 shortfall. Debbie asked if TCC would be willing to split the shortfall with the Visitor Bureau. Carol thought it was a good idea to split this cost. Debbie hung up. Discussion. Carol moved to pay half of the FAM Tour shortfall amount (for a total of $237.79). Chuck seconded the motion. Motion passed unanimously. LTAC Reporting Requirements – Joy The State Legislature is now talking about sunsetting the lodging tax distribution. In 2013, LTAC is scheduled to sunset. Discussion. Christina thought she understood that the change in 2013 was a change in reporting funding going to festivals and events, not that lodging tax was being sunsetted completely. Since tourism is a $16 billion industry in this state, it would be unwise for the Legislature not to support tourism. Joy requested that everyone use the statistics in the Dean Runyon Report in the end-of-the-year LTAC Report so that the state can compare apples to apples. Rack Cards Joy – Ryan will put cards into the racks at the ferry terminal on the Victoria side if you give him 250 cards, or more, at a time. Timeline for LTAC Budget Requests – Joy The Supplemental Budget Request Funding has not been distributed yet. Joy will call John. It was decided that TCC Members will attend the BOCC meeting, if need be, to encourage Commissioners to follow up on that funding issue. Quilcene/Brinnon Report – Carol Quilcene Fair and Parade is this weekend at 11:00 am. Sunday is the Ranger Run. Proceeds will help to resurface the tennis court. Quilcene has won the opportunity to have six Aquarium Murals located there, each one is 8 feet x 5 feet x 1 inch thick. Everyone is very happy about this. Jefferson Transit - Cara Swanson Cara is the Executive Assistant for the General Manager of Jefferson Transit and is also in charge of advertising. The Transit has not done much in the way of advertising in the past, with most having been done in the PT Leader. Cara felt the low amount of advertising has been a disservice. She will now focus on advertising outside the County. She is working on a Farmer’s Market Guide for our five markets because existing routes go the each one of those markets. This will be smaller than the Farm Tour Guide that WSU puts out. Bicycle Locks: Each bus can carry three bikes on the front. Jefferson Transit is looking at adding a couple of locks so that each bus can carry a minimum of five bikes. This will be a pilot program with this particular lock. Teresa had a great conversation after OPTC meeting with Ryan Malane in support of a meeting with Jefferson/Clallam County, Black Ball, Jefferson Transit. Meeting ended at 12:15 pm.
