HomeMy WebLinkAboutM090914 Tourism Coordinating Council Jefferson County Minutes of the Monthly Meeting of the Board of Directors September 9, 2014 (DRAFT) The September 9, 2014 meeting of the Tourism Coordinating Council (TCC) for CALL TO ORDER Jefferson County, was called to order the at 10:07am by Chair Bill Roney, noting a quorum present. Voting Members present were: Bill Roney, Allison Willing, Jennifer Lampe, Joy Baisch, Mike Zimmerman Members Excused: Larry McKeehan, Marsha Masey TCC Friends in attendance: Teresa Verraes, Christina Pivarnik, John Austin, Kathleen Kler TCC Marketing Coordinator present: Steve Shively On motion by Jennifer Lampeand seconded by Joy Baisch, TCC unanimously APPROVAL OF approved the minutes from the meeting conducted on August 12, 2014. MINUTES TCC was unable to reviewed general sales tax receipts and motel / hotel lodging tax FINANCIAL figures reported from August as they had not yet been posted on the County site. REPORT TCC reviewed the transactions of the past month. On motion by Joy Baisch and seconded by Jennifer Lampe, the TCC financials were APPROVAL OF accepted as received. Motion carried. TCC FINANCIALS emergency ferry terminal. Encouraging TCC to voice concern of sale of this important Hood Canal mitigation asset. APPROVAL OF On motion by Allison Willing, seconded by Joy Baisch, TCC authorized Bill Roney WSDOT LETTER to send a letter on behalf of TCC to WSDOT expressing concern over possible South Point sale. Motion passed. John and Bill informed TCC of the upcoming process for annual county LTAC review. Dates are tentative, targeting mid November. TCC will work on application. a)Bill welcomed Kathleen Kler , candidate for Jefferson County Commissioner. ADDITIONS TO AGENDA b)Bill again noted the need to discuss WTA membership involvement. After discussion Bill, again, asked TCC to review http://watourismalliance.com/membershipopportunities/ and determine which membership level may be best for TCC and budget. On motion by Mike Zimmerman, seconded by Jennifer Lampe, that the current $925 WTA membership / Summit fees line-item through Chairs discretion of APPROVAL OF reallocating $75 from within the Advertising Marketing category, so that WTA MODIFYING WTA membership funding is budgeted at $1,000.00. Motion carried. BUDGET LINE- c)Bill, Christina, Joy and Steve updated TCC on OPTC Fall campaign, sharing ITEM with TCC some discussed scenarios and parameters for marketing. After discussion APPROVAL OF On motion by Jennifer Lampe and seconded by Allison Willing that TCC authorize FALL CAMPAIGN $7,000 of budgeted Spring/Fall Campaign funds to OPTC for use in the upcoming FUNDING Fall Campaign. Motion carried. d) overnighting later this month at Kalaloch Lodge. APPROVED FAM TOUR FUNDING On motion by Jennifer Lampe and seconded by Joy Baisch TCC authorized $600.00 REQUEST of FAM Tour Support budget to OPVB for this project. Motion carried. Steve reviewed the Marketing Coordinators report provided to TCC in their advance meeting packet materials. Highlights reviewed where: e)Work progression beyond initial cosmetic only - to EnjoyOlympicPeninsula site with focus on SEO, meta tags, analytics and various infrastructure MARKETING essentials for the site. COORDINATORS f)Baseline performance metrics are being established on various REPORT EnjoyOlympicPeninsula social media platforms. g)Web site was reviewed with note of desire to aggregate calendar feeds from PTGuide and OlympicPeninsula. Build out of Lodging requires a data sorter of some kind, e.g. Availability Calendar, Accommodation Type, or Geographic Location. Pros and Cons of each were discussed. Allison recommended seeing a Geographic sorter as an initial means by which to better view the lodging partners data. h)TCC recommended that Steve consider Biking, i.e. Olympic Discovery Trail, as well as Kayaking via Cascade Marine Trails as components of the Trails page on EnjoyOlympicPeninsula. New Business: Motion APPOINTMENT under RCW by appointing the position of TCC Marketing OF OFFICIAL Coordinator, currently filled by Steve Shively, as the Official Recorder for TCC. RECORDER FOR Motion carried. TCC November TCC meeting. Due to Veterans Day. On motion by Jennifer Lampe, seconded by Mike Zimmerman, that November CHANGE TO TCC be moved to November 4, 10AM at offices of Ludlow Associates. Motion NOVEMBER carried MEETING DATE (expenses vs. County release of allocated funds). Beyond quick review of historic . No TCC action taken. Marketing opportunities. TCC asked Steve to research and identify possible Hood al of leveraging message of Fall OPTC campaign materials within the TCC market share. Vertical markets mentioned for consideration include: JBLM and NASB Whidbey. Christina brought opportunity request of Seattle Concierge FAM tour to Olympic Peninsula. TCC will gain exposure with scheduled dinner at Resort at Port Ludlow. On motion by Mike Zimmerman, seconded by Allison Willing, TCC authorizes up APPROVAL to $500 from FAM Tour Support of dinner at Port Ludlow for upcoming Seattle SEATTLE Concierge FAM tour. Motion carried. CONCIERGE FAM TOUR Area Updates: a)Port Ludlow Jennifer reports their fourth and final Farm Dinner on September 19 th, still has some tickets available. Featuring Mystery Bay and Red Dog Farms at Port Ludlow. AREA UPDATES thth Oct. 14 BIG Chamber event. 20 year celebration at Inn of Port Ludlow. October Brewmaster event with CB Nuts also in the works. b)Quilcene Museum Larry emailed the following report: Quilcene Fair & Parade: September 20th (parade, car show & burn-out, carnival, vendors, displays, music, contests, food, etc. 10 am - 4 pm) AFTER FAIR free concert at Linger Longer Museum Stage (2 bands, beer garden, food vendors: 4 - 7 pm) www.quilcenefair.org Quilcene's 5K, 10K and 1/2 marathon: September 27th (9am start and finish at Quilcene Museum) Sanctioned Event: USA Track & Field; www.quilcenehalfmarathon.com Quilcene Museum is on the funding list for Historic Capital Projects Funding through the legislative budget for 2015-17 and the Wash State Historical Society; interior restoration work on the Worthington House. Quilcene Museum and Events: dramatic increase in visitors; We have 3 major events remaining in the season. We are very confident in reaching our targeted goal of 2800 - 3000 new & returning visitors to South Jefferson County this April - October 2014 season. c)North Hood Canal ChamberJoy reports that VIC numbers are above last year and still climbing! Record year for Dosewallips state parkState Park. Record year anticipated for Quilcene ½ marathon. d)Fort Flager Mike reported on their Military vehicle show this weekend in the lower campground at beach. Fort Flager has enjoyed a good summer. Thanks in a large part to good weather, no Red Tides. The Friends of Fort Flagler, three summer concerts each sold-out. The Friends are again planning for the October 24-25 annual Halloween Event. Looking ahead next Feb. Community Dance. e)Marrowstone Allison f)PT LTAC Christina reports that Wooden Boat sold out! Great weather for all to enjoy. PT Film Festival is their next focus. Upcoming media marketing: Writers and Broadcasters from BC this Friday Salish Sea FAM tour next week with writers. FAM with Port of Seattle after that. Marketing efforts for additional film production in PT. Christina will be representing, and speaking, on behalf of WTA at the Scenic By-ways conference for Destination Development messaging. Save the date: Oct. 21 and 22 Olympic Peninsula Tourism Summit Fort Worden. Featuring Congressman Derek Kilmer, and Tom Norwalk Visit Seattle. g)JC Chamber Teresa shared the Big VIC news Karen Anderson leaves her position after six successful years. All invited to a farewell party 5PM Thursday. Lauran Mann will be replacing Karen.
