HomeMy WebLinkAboutM081115 Tourism Coordinating Council Jefferson County Minutes of the Monthly Meeting of the Board of Directors August 11, 2015 (DRAFT) The August 11, 2015 meeting of the Tourism Coordinating Council (TCC) for CALL TO ORDER Jefferson County, was called to order at 10:09am by Chair Bill Roney, noting a quorum present. Voting Members present were: Bill Roney, Bonnie Story, Debbie Wardrop, Joy Baisch, Marsha Massey, Bud Schindler Friends present were: County Commissioner Kathleen Kler, Christina Pivarnik, Teresa Verraes TCC Marketing Coordinator present: Steve Shively Minutes from previous meeting were reviewed. On motion by Bonnie Story, and APPROVAL OF seconded by Debbie Wardrop, TCC unanimously approved minutes from the MINUTES meeting conducted on June 9, 2015. Steve reviewed the year-to-date July 2015 financials with TCC. Reflected in the APPROVAL OF review of financials was the budget modifications reflecting the supplemental TCC FINANCIALS budget increase of $18,200 recommended by Jefferson County LTAC on June 30, 2015. Also discussed what the on-going, positive, trend in lodging revenue of actuals exceeding YTD budget tax revenues by 26.5%. On motion by Joy Baisch, seconded by Marsha Massey, the TCC financials YTD July, 2015 were accepted as received. Motion carried. County LTAC TCC reviewed the Jefferson County vacancy notice regarding three LTAC seats. Vacancies Interested applicants are encouraged to communicate their interests to the County. Chair Bill Roney called TCC into Executive Session at 10:27AM. EXECUTIVE TCC reconvened at 10:49AM SESSION Commissioner Kathleen Kler highlighted for TCC a number of updates related to TCC. Included are: a)Successful Supplemental Budget meeting of LTAC, awarding one-time funds to UPDATE numerous Jefferson County tourism promoting partners. b)Working with Congressional Representative Derek Kilmer on various funding initiatives, including: rural schools, IT updates, and law enforcement requests c)August 22 Troll Run in Gardiner has currently over 200 registrations! Bill updated TCC on 501(c)6 incorporation progress. In meeting with Aldryth O TCC the application process has changed from volunteer pro bono to contracting for COORSPONDENSE completion of filing. Work still to be done, including WA State non-profit incorporation, prior to Federal application for 501(c)6 filing. Bill estimates total budget for application processs might be $1,180. After much historical review of how TCC has come to this 501(c)6 process was discussed. ACTION that funds of up to approximately $1,200 to complete the TCC 501(c)6 application as outline. Moved by Debbie Wardrop, and seconded by Bonnie Story, Motion passed with one recorded abstention. agreements to see if there is possible solutions of how status quo may be amended to explore current opportunities and personalities for TCC ultimate end-goal of: a) Increased responsiveness / nimbleness, b) Fiscal liquidly of approved funds, c) Administering the MOST money for Jefferson County tourism marketing. Marsha reports highlights from recent OPTC meeting including: Approved $18,000 for Fall advertising OPVB / OPTC featuring Seattle Metro bus backers among new media efforts. REPORT Conference held in Seattle. Marsha thanked Steve for his Olympic Culinary Loop Tourism Summit Shoulders Shoulder Season Lots of fall FAM tours in the works. Good international press focus. Steve briefed TCC on initial advertising enabled thanks to the approved Jefferson TCC MARKETING LTAC one-time supplemental budgeting process, including print and digital media COORDINATORS REPORTS Emphasis is on promotion of a bridge campaign between summer and winter Steve Steve and Bonnie Story responded to a request for creating and facilitating a marketing measurements workshop. Title Advance Tips & Techniques to Track Outcome: Identify, unify, and track existing tourism marketing results. TCC clarified that prime audience will be Jefferson County LTAC funding recipients. Date for workshop will be scheduled for September. Need for either developing or collaborating with fundamental digital and social media marketing topics also needed. Steve and Bonnie will continue to explore those solutions. Area Updates were skipped due to the extended agenda of this TCC meeting.
