HomeMy WebLinkAboutM090815 Tourism Coordinating Council Jefferson County Minutes of the Monthly Meeting of the Board of Directors September 8, 2015 (DRAFT) The September 8, 2015 meeting of the Tourism Coordinating Council (TCC) for CALL TO ORDER Jefferson County, was called to order at 10:07am by Chair Bill Roney, noting a quorum present. Voting Members present were: Bill Roney, Bonnie Story, Debbie Wardrop, Joy Baisch, Marsha Massey Friends present were: Teresa Verraes TCC Marketing Coordinator present: Steve Shively Minutes from previous meeting were reviewed. On motion by Debbie Wardrop, APPROVAL OF and seconded by Bonnie Story, TCC unanimously approved minutes from the MINUTES meeting conducted on August 11, 2015. Steve reviewed the year-to-date September 2015 financials with TCC. Reflected in APPROVAL OF the review of financials was the on-going, positive, trend in lodging revenue of TCC FINANCIALS actuals exceeding MTD budget tax revenues by 45.2%. On motion by Joy Baisch, seconded by Bonnie Story, the TCC financials YTD August, 2015 were accepted as received. Motion carried. CONTINUING Bill updated TCC on 501(c)6 incorporation progress. Ongoing work and progress BUSINESS reported with the application process. Work still to be done, including WA State non-profit incorporation, prior to Federal application for 501(c)6 filing. Bill estimates total budget for application process might be $1,180. Steve reported on efforts to explore parallel track with county if there is possible solutions of how status quo may be amended for TCC ultimate end-goal of: a) Increased responsiveness / nimbleness, b) Fiscal liquidly of approved NON-PROFIT funds, c) Administering the MOST money for Jefferson County tourism marketing. FILING RE- ENDORSED On motion by Joy Baisch, seconded by Debbie Wardrop, TCC endorsed the ongoing 5019(c)6 application filing, Marsha reports highlights from recent OPTC meeting including: OPVB / OPTC Tourism Summit REPORT Shoulders . Registration scheduled to open September 14. 15+ fall FAM (familiarization) tours in the works. Good international press focus, with strong German and Dutch market representation. TCC encourages tour operators typically addressing the tour group SMERF (Social, Military, Educational, Religious and Fraternal) packaged travel wholesale sector, with emphasis on our current FIT capacities and more education of our lodging and attraction providers regarding their operational requirements needed to better address the needs of SMERF and packaged tour wholesalers. lovely new civic arts center. Steve introduced the exciting capability of Utrip.com and how this self-curated travel planning tool is being leveraged by various regional tourism sites including https://visit.funbeach.com/ All TCC members are encouraged to explore, play and consider the possibilities of incorporating Utrip.com into the EnjoyOlympicPeninsula.com site. Steve and Bonnie Story updated TCC on the progress of the request for them to create and facilitate a marketing measurements workshop. Advance Tips & Techniques to Track the Effectiveness of your Jefferson Co. Tourism Marketing , scheduled Wednesday, October 7th 9:30AM-11:30AM at Andrews Suite The Inn at Port Ludlow. TCC identified expanded audience who should be invited to attend. AREA UPDATES Highlights of the following Area Updates were shared by TCC members and friends: a)Gourmet postponed until 2016. Wooden Boat shuttle will able transport Festival attendees free. Upcoming Winemaker dinner, expansion of Relax Packages, inclusive of Halloween. 8 of 42 Cottage Homes have been sold! Susan Windle is moving the Warwick Hotel in Seattle. Sarah McHugh will be replacing Susan. b)Quilcene Museum Bonnie shared how permitting for the historic house remodel has pushed their project into 2016. Marketing success for this seasons Linger Longer Stage includes additions of the Half Marathon, 10K & 5K runs September 26, leading off with an open to - spaghetti feed Friday night! c)North Hood Canal Chamber Joy footnoted that Big Quil Oysters will be served at the Oyster run! Lots of activity, from Rockybrook being film setting for a Vietnam era movie to spawning Salmon looking for more water to help them along their way High volume of cars (30-50 daily) parked at Rockybrook. Many are eastern Washington hikers displaced by wildfires looking for a place to hike and learning how to hike on west-side trails! Taylor Shellfish enjoyed another successful midnight clambake. Elk Meadows Farm stay now has seating for 24 with a true Farm-to-Table experience. d)Jefferson Chamber Teresa praised the new rack design in the VIC and is working on reaching WSDOT to get them to correct the Hood Canal bridge messaging Sept. 9- reducing traffic volume. Business is up. The 5,000 print run of the newly designed local business guide was distributed. Next meeting date: October 13, 2015 10AM The TCC meeting was adjourned at 12:01 pm. Adjourn
