HomeMy WebLinkAboutM120815 Tourism Coordinating Council Jefferson County Minutes of the Monthly Meeting of the Board of Directors December 8, 2015 (DRAFT) The December 8, 2015 meeting of the Tourism Coordinating Council (TCC) for CALL TO ORDER Jefferson County, was called to order at 10:03 am by Chair Bill Roney, noting a quorum present. Voting Members present were: Bill Roney, Joy Baisch, Allison DuRoi, Shannon Meyers, Debbie Wardrop, Marsha Massey. Friends present were: County Commissioner Kathleen Kler, Aaron Terada, Christina Pivarnik and Todd Gubler TCC Marketing Coordinator present: Steve Shively Minutes from previous meeting were reviewed. Corrections made to November APPROVAL OF MINUTES minutes - line . On motion by Debbie Wardrop and seconded by Allison DuRoi, TCC unanimously approved minutes from the meeting conducted on November 10, 2015. Motion carried. November TCC financials were reviewed by Steve with note of record +24.8% over APPROVAL OF TCC projected budget by Jefferson County reported Hotel / Motel revenues. All other FINANCIALS spending is booked and on-track. Working with OPTC and Jefferson Co. on reconciliation of some invoiced payments reported as not yet received by OPTC. Commissioner Kler reported that County continues tracking the early increase from baseline, as they wait for word on status of Congressional allocation of funds for compensation in lieu of property taxation potential due to forest lands. Last year funding was $1.6M for county. On motion by Allison DuRoi, and seconded by Joy Baisch, TCC unanimously approved financial report. Motion carried. Commissioner Kler noted that BOCC has received testimony from area lodging COMMISSIONERS regarding concern for AirBnB operations. Debbie added WA Lodging Association and REPORT her personal observations of issue. County will continue to monitor. LTAC completed 2016 appropriations, with TCC receiving requested $120,000 funding plus $12,500 in banked capacity for planned collaboration on Conversion Study. LTAC has planned policy and strategy sessions throughout 2016 in effort to continue ADDITION TO Chair Roney requested addition of early 2016 TCC voting members work session for AGENDA the purpose of planning and 501c6 details. Location and logistics of 8AM January 7, Red Lion, Port Angeles was suggested as it matches existing OPTC meeting majority of voting TCC members will already be attending. Discussion on scope of work and value of third-party facilitator was discussed. Details and agreement on a list of potential facilitators for Steve to follow-up with was created. 2016 MEETING The following 2016 TCC meeting dates were approved by consensus DATES APPROVED 1/12, 2/9, 3/8, 4/12, 5/10, 6/14, No Meeting July, 8/9, 9/13, 10/11, 11/8, 12/13 Marsh Massey provided OPTC briefing to TCC. Highlights included: OPTC REPORT Review of November OPTC general meeting and update on OPTC Marketing programs. OPTC balance budget Waiting for January strategy and planning meeting. Setting of three 2016 priorities Brand, Web and Shoulder Seasons. Chair Roney reported that the WA State filing of TCC as a Non-Profit has been NON-PROFIT approved. This is a required prerequisite for filing Federal 501(c)6 application. FILLING UPDATE Discussion and on-going communication with BOCC and County Administrator will enable this organizational transition to smoothly succeed. TCC MARKETING Steve briefed TCC on continued marketing campaigns and details. Including: COORD. REPORTS Nov. and Dec. Tourism Washington Enews, both with good visitor engagement. 1/2 page ad in December NW Outdoors issue. Website expansion with addition of UTrip customizable itineraries and Aurasma mobile device user interactive tools. On-going discussion and planning with Lamar Transit regarding bulk buying discounts for display ads on Portland Bus and MAX light rail system. map insert and Olympic Peninsula as one of seven culinary destinations featured at Feb. Seattle Food & Wine event. Exploration with CampNative as possible portal for campsite r a)Port Ludlow Debbie- - Updated Port Ludlow special flyers were distributed, AREA UPDATES featuring weekly community specials such as Trivia Night. Weekly Wednesday culinary specials December continues French Bistro nights, with Wednesday breakfast & lunch. Guests can check out a personal ice cream maker full of delicious ready to go ingredients! Debbie has kindly extended mid-week Friends & Family lodging rates now through end of March, contact her for details on lodging or Seattle waterfront World Trade Center meeting space. Shannon reports 11 houses sold to date! b)Marrowstone Allison invites all to jump in January 1, noon for the annual Polar Bear Dip Nordland Store. Aaron will be writing letter to Jefferson Co. seeking appointment to TCC, (Chairman Roney will send endorsement letter). Aaron noted that Friends of Fort Flagler will be hosting First Day Hike at Fort Flagler. Aaron gave insights to upcoming WA State Park Guide production. c)Port Townsend arrival and the Haller Fountain annual Community Christmas Tree lighting event.
