HomeMy WebLinkAboutM091316 Tourism Coordinating Council Jefferson County Minutes of the Monthly Meeting of the Coordinating Council September 13, 2016 (DRAFT) The September 13, 2016 meeting of the Tourism Coordinating Council (TCC) for CALL TO ORDER Jefferson County, was called to order at 10:07am by Chair Bill Roney, noting a quorum present. Voting Members present were: Bill Roney, Marsha Massey, Joy Baisch, Cleone Telling, Aaron Terada, Debbie Wardrop TCC friends present: Christina Pivarnik, Allegra Pomeroy, Stefanie Rotmark TCC Marketing Coordinator present: Steve Shively Bill welcomed all, taking a moment to extend a special TCC appreciation to Stefanie for all her exceptional work with OPTC/OPVB and making TCC easier and more successful. Marsha reported that Stef will stay on virtually - contracted to provide part-time project assistance to OPVB staff through end of year and in person during the October Tourism Summit. Minutes from previous meeting were reviewed with typos on bridal package APPROVAL OF mentions and Roger Dow president and CEO of the U.S. Travel Association. Chair MINUTES Bill Roney, called for TCC vote approved minutes from the meeting conducted on August 9, 2016. Moved for approval, as corrected, by Joy Baisch, Seconded by Marsha Massey, Motion passed unanimously. Steve reviewed the August 2016 financials with TCC. Noting that JeffCo. reports for General Taxes from actual May-June activities, continue above trending average. Lodging continues record levels, reporting positive 23.9% YTD performance ahead of budget. TCC has a good discussion regarding growth in inventory vs. LOS (Length of Stay) vs. ADR (Ave. Daily Room Rate). Growth in JeffCo. Lodging inventory is fairly flat, antidotal understanding for increased LOS, and some properties taking full advantage of variable pricing, packages, and other hotelier business essentials to tip up ADR. Confirmation of true weight of these revenue components care of eventual Conversion Study will greatly aide TCC in strategically understanding realities behind our successful growth. OPTC Report Marsha shared the following highlights from recent OPTC meeting: Marsha reviewed the Forks OPTC meeting, highlighting the good work of OPTC REPORT the West ends Forever Twilight festival GeoTours Final details PLENTY of them before the 9/24 at 7:30AM big kick-off Fall marketing underway, most ads placed. GeekWire eNews sponsorship performed particularly well as it was their big conference edition, OPTC REPORT (continued) Four FAM tours mostly travel writers being facilitated through the winter. Co-opt Bus boards with TCC and Sequim in Portland and return of Seattle metro busses are among highlights. Map Olympic Peninsula NP Map. We now better understand the NPS annual October map distribution formula, and can expand consideration for a potential Peninsula pad map which meets our many needs. Stef research goal of 20K pad map possibility TCC Marketing Report - Steve reviewed recent and upcoming TCC marketing work with the Council, highlighting fall TCC focused marketing with varied media platforms, including: TCC Augusts NOAA OCNMS tourism promotional filming at Kalaloch, an illustrative MARKETING power of the new pay to play paradigm vs. traditional organic growth for social COORDINATORS REPORTS media platforms, TCC current ads in PDX FEAST festival with SagaCity insert in both Portland Monthly and Seattle Metro magazines, Digital Outdoors NW digital ads, and upcoming TCC in-house FAM leading up to our Fall Relax campaign with Sinclair medias STAR 101.5 radio and geofencing delivery of location sensitive push digital ads supporting our UTrip personal itineraries web widget. Portland and Seattle transit bus ads were also revealed. The rest of the Marketing report addressed the proposed 2017 TCC budget requests to submit to LTAC. After discussion and some modifications to specific line items, TCC recommended forwarding the $144,000, 20% increase as part of the 2017 TCC funding request. Area Update Sharing: Due to 2017 budget discussions areas updates were limited to the following: AREA UPDATES Quilcene Museum Cleone invited all to the Quilcene Fair Saturday September 17, highlighting the Quil Oyster run ½ Marathon. Fort Flagler Aaron reported on upcoming WSPRC Commission meetings in Sequim with meeting in Sequim on September 22 with commercial co-business development opportunities being discussed. Highlights include: Two-day Summit, Thurs and Friday, October 27 & 28 at Fort Worden. Honoring the Authenticity of Place is conference title. Day One - ncluded by a Fort Worden hosted dessert reception. Day Two highlights include: Leif Whitaker, REI senior leadership, The 2 Travel Dads Bloggers Rob & Chris Taylor, and a Jamestown S'Klallam Tribal elder will all be sharing on-stage. On-line registration, including sponsor opportunities are coming soon. WTA Christina updated TCC on numerous Washington Tourism Alliance details, AREA UPDATES including: (cont.) WTA Summit, to be held at Crown Plaza Airport, SeaTac, Oct. 14 8AM 5PM. Early registration ending soon. Branding / PR firm contracted to get message out and funding legislation passed. Details will be shared by a panel of task-force participants. Roger Dow president and CEO of the U.S. Travel Association will key. ADJORN There being no further business, the TCC meeting was adjourned at 12:12 pm, Next meeting of TCC is scheduled for October 11, 2016 10AM at the Suite, Inn at Port Ludlow.
