HomeMy WebLinkAboutM101116 Tourism Coordinating Council Jefferson County Minutes of the Monthly Meeting of the Coordinating Council October 11, 2016 (DRAFT) The October 11, 2016 meeting of the Tourism Coordinating Council (TCC) for CALL TO ORDER Jefferson County, was called to order at 10:07am by Chair Bill Roney, noting a quorum present. Voting Members present were: Bill Roney, Marsha Massey, Cleone Telling, Aaron Terada, Debbie Wardrop TCC friends present: County Commissioner Kathleen Kler, Christina Pivarnik, Teresa Verraes, Crystie Kisler TCC Marketing Coordinator present: Steve Shively Bill welcomed all, taking a moment to extend a special TCC welcome to Crystie Kisler who has expressed interest in joining TCC, applying to BOCC for appointment to the Tri-Areas seat vacated by Allison Willing. Pending approval Crystie would represent Tri-Area receivers with Aaron Terada representing collectors. Minutes from previous meeting were reviewed. Chair Bill Roney, called for TCC vote approved minutes from the meeting conducted on Sept 13, 2016. Moved for APPROVAL OF approval, by Cleone Telling, second by Debbie Wardrop, Motion passed MINUTES unanimously. Steve reviewed the September 2016 financials with TCC. Noting that JeffCo. reports for General Taxes from actual mid-summer activities, continue above trending average. Lodging continues record levels, reporting positive 20.5% YTD performance ahead of budget. Again, eventual Conversion Study data will greatly benefit TCC in strategically APPROVAL OF understanding fuller realities associated with our successful growth. TCC FINANCIALS Moved for acceptance by Marsha Massey, Seconded by Bill Roney Motion passed unanimously. ON GOING Chair Bill Roney reported that TCC will asking USFS to co-present with TCC at BUSINESS eping with NPS display c/o Bedford Sodas, and Peninsula CollegeProgram being displayed c/o OPVB. Bill asked Aaron if WSP&RC would be interested in promoting Fort Flagler alongside ls. Commissioner Kler briefed TCC on a variety of tourism related topics, including: COUNTY Sudden closure of Ajax Cafe COMMISSIONERS Ludlow timber issues, demonstrators. REPORT ShrimpFest good payout process from County and event Very large number of LTAC funding requests Capital investments supporting tourism are among areas of interest to BOCC WSDOT Hwy 19 expansion. OPTC Report Marsha shared highlights from recent OPTC meeting. Topics included: OPTC REPORT Summit report was deferred to Christina. Marsha requested consideration for Summit gift drawing. Successful GeoTour kick-off. Many have already turned in full tour Fall marketing bus ads Seattle and Portland, successful collaborative co-opt with TCC, OPTC/OPVB, Sequim Holiday enews letter getting ready 2017 Travel Planner coordination. Tight details and lodging grid is being modified with removal of Min and Max rates and internet Yes / No columns. Target is again 110,000 press run OPTC and Clallam and PA LTAC funding requests are being received. Details still being worked out on the 12 mile Lake Crescent closure, expected to span 3 seasons with regular 30-minute delays. TCC MARKETING COORDINATORS TCC Marketing Report - REPORTS Steve reviewed recent and upcoming TCC marketing work with the Council, highlights included details on: Farm Tour and GeoTour cross-promotional reach Successful FAM tour through east Jefferson County with Jill Taylor has lead to excellent week 1 & 2 on-air promotional spots, reviewed by TCC. GeoFencing pushed digital ads are targeting potential visitors with 2-3 miles of specific Puget Sound geographic locations. Less hyper targeted are collaborative Seattle and Portland metro bus ads up through at least late November. All resulting in excellent audience overview analytics through early October. 2017 TCC budget request has been submitted to LTAC. Presentation is upcoming. Area Update Sharing: Port Ludlow: Debbie ongoing USA Today Pet Friendly resort contest countdown. AREA UPDATES Plus: Wednesday night specials Opening for Beer Dinner, Wine maker dinner has sold out. Dedication of Tiny Library upcoming. FF&E of new Queen beds in 2017 WA Hospitality Convention in Nov. (new organization combination of WA Restaurant and WA Lodging) Julie Johnson, new cellar master First model of new Olympic Terrace opening soon. Quilcene Museum Cleone celebration for having reached their goal of 9,000 shingles donated. Other Quilcene news shared included: October 26 volunteers dinners Dec. 3 welcome holiday reception for donors. Oyster run ½ Marathon had 50 additional runners, with KCTP dinner AREA UPDATES theater in advance (cont.) Chimacum Crystie reported on RCD, Rural Community Development. With focus on Chimacum heritage. News on additional areas of interest include: Jefferson Co. Library and Chimacum School visioning. Finnriver on-going work with partners at Chimacum corner. Value added producers grant with Eco trust NW Cider Assoc. Cider Day focused on New England Franklin Cider Days. Gateway VIC LTAC 2017 submittal. Visitor survey showing trends to multi- night of stay. GeoCache at VIC has drawn good initial traffic. Flagler Aaron reported on upcoming WSPRC Commission September 22 Recreational Concessions Agreement was approved, with focus on public serving amenities. Additional details: Fort Flagler map of available structures for 3 Tiers have all been approved. Extended camping season has resulted in increased visitors. PermaCulture Convergence was huge at 500 participants with plenty staying from all over the region. Museum hours increasing as volunteers are available Olympic Tourism Summit is underway and additional details were shared by Christina. Highlights include goal of 180 participants. Other details: Two-day Summit, Thurs and Friday, October 27 & 28 at Fort Worden. Day One - persona based excursi Day Two highlights include: Leif Whitaker, REI senior leadership, Travel Dadsand a Jamestown S'Klallam Tribal elder will all be sharing on-stage. On-line registration, including sponsor opportunities are coming soon. WTA Christina updated TCC on numerous Washington Tourism Alliance details, including: WTA Summit 150 registered at Crown Plaza Airport, SeaTac, Oct. 14 8AM 5PM. Early registration ending soon. Grass Roots branding / PR contracted to get message out and funding legislation passed. Details will be shared by a panel of task-force participants. Roger Dow president and CEO of the U.S. Travel Association will key. Port Townsend Tourism Christina share their Best of Port Townsend photo contest results. Other highlights included: Nov. 1 Winter Campaign launches dre, including mirror Seattle and Portland bus ads. be Nov. 10th Increase YTD of 35% via Google AdWords investment. AREA UPDATES Olympic Discovery Trail fundraiser with Freddy Pink. (cont.) Jefferson County Chamber Teresa reported that the PT VIC is up 33% this year, with a current welcome center full of Germans right now. Russell Jakua sculpture has just been landed. Parking will improve for RVs and all others. Advocacy from PT and Team Jefferson, including efforts such as Ajax, and Port and DCD Directors hirings. Hood Canal Bridge closures. Adjournment - There being no further business, the TCC meeting was adjourned at ADJORN 12:12 pm, Next meeting of TCC is scheduled for November 8, 2016 10AM at the Suite, Inn at Port Ludlow.
