HomeMy WebLinkAboutM121316 Tourism Coordinating Council Jefferson County Minutes of the Meeting of the Coordinating Council December 13, 2016 (DRAFT) The December 13, 2016 meeting of the Tourism Coordinating Council (TCC) for CALL TO ORDER Jefferson County, was called to order at 10:13am by Chair Bill Roney, noting a quorum present. Voting Members present were: Bill Roney, Marsha Massey, Cleone Telling, Aaron Terada, Shannon Allman-Meyers TCC friends present: Christina Pivarnik TCC Marketing Coordinator present: Steve Shively Bill welcomed all, taking a moment to extend special TCC thanks for the collaborative good work everyone has contributed to help make 2016 a very successful tourism marketing year for the Olympic Peninsula. Minutes from previous meeting were reviewed. Chair Bill Roney, called consensus approval of TCC minutes from the meeting conducted on October 10, 2016. Minutes approved by unanimous consent. APPROVAL OF MINUTES Steve reviewed the November 2016 financials with TCC. Noting that JeffCo. reports for General Taxes from actual early fall activities, continue above trending average. Lodging continues record levels, reporting positive YTD performance ahead of budget. APPROVAL OF approved allocation. TCC Steve and Bill have presented revs. A & B to TCC with rationales behind each FINANCIALS recommendation. Good discussion regarding scenario leading to greatest position for anticipated supplemental budget requests. Bill Roney moved for acceptance November 2016 Financial report and adoption of Rev. B 2017 TCC budget allocation of $135,000, Seconded by Cleone Telling, Motion passed unanimously. Chair Bill Roney received TCC acceptance of the following 2017 TCC meeting dates: ON GOING 2017 TCC dates: Jan 10, Feb 14, Mar 14, Apr 11, May 9, Jun 13, No July, Aug 8, Sep BUSINESS 12, Oct 10, Nov 14, Dec 12 (2 ND Tuesday, 10AM-Noon) section for the duration of the 2017 Legislative session. OPTC Report Marsha shared highlights from recent OPTC meeting. Topics included: End of year wrap-ups. Including final Tourism Summit report, GeoTou, Lori OPTC REPORT updates and 2017 Travel Planner progress 12 mile Lake Crescent closure communication details still being coordinated with NPS. Marketing committee working with Ryann of Coho Ferry on Adventure persona Instagram campaign for Olympic Peninsula early this spring. TCC Marketing Report - Steve reviewed recent and upcoming TCC marketing work with the Council, highlights included details on: Bus Kings and Tails Geo Fencing campaign performance The Amazon effect Extra Radio Promos and sponsor spotlights TCC UTrip integration MARKETING COORDINATORS Ongoing: Digital Media results REPORTS Legislative primers, including: Washington Tourism Alliance Grassroots Web and 2017 Tourism Summit and Day in Olympia on January 24 th, 2017 Area Update Sharing: WTA Christina updated TCC on numerous Washington Tourism Alliance details, including: messaging and bipartisan legislative efforts to write funding match modeled bill vs. past efforts of assessment model. Full details will be shared by a panel of task-force participants at Jan. 24 WTA Summit Day in Olympia. All are encouraged to attend. Port Ludlow: Shannon Explained their strategic e page ranks #2 most visited page on their website. Goal of curated itineraries ranging from 30 minutes near-by the Resort to day-trips. Amazing trend of partnering what to do every day of their travel AREA UPDATES newest Olympic Terrace 2 cottage sales campaign By-Make Port Ludlow your Basecamp on the Olympic Sold out Thanksgiving weeks in advance. Good progress on sales for both Christmas and New Years. Quilcene Museum Cleone explained that the LTAC grant for Worthington House in 2017 will be great! rd Additionally, great was the successful December 3 tree and auction in the otherwise gutted house. Volunteers decorated throughout for a perfect 140+ person attended event. Big praise for the Timberhouse, Gearhead Deli, and ion proceeds. Murdock Grant application if won will help finish in time for targeted June 2017 opening date. New 1/8 mile Bergenfield trail opened from Worthington House. AREA UPDATES Quilcene Historical Museum website is being developed (cont.) Flagler Aaron reported ongoing electrical project should be completed late January. Housing of contractors has helped otherwise off-season lodging taxes. Next fall Vacation Houses will be off-line for planned maintenance work. Retreat Center accommodations will remain on-line. Olympic Tourism Summit is underway and additional details were shared by Christina. Highlights include goal of 180 participants. Other details: Two-day Summit, Thurs and Friday, October 27 & 28 at Fort Worden. ence title. Day One - Day Two highlights include: Leif Whitaker, REI senior leadership, Travel Dadsand a Jamestown S'Klallam Tribal elder will all be sharing on-stage. On-line registration, including sponsor opportunities are coming soon. Port Townsend Tourism Christina share their Port Townsend marketing highlights including: On-going winter marketing campaign underway through February is doing well. Remnant ad buys are benefits of having some extra end-of-year funds. KWARM 106 commercials and Seattle & Portland bus Ads up running A list of places open for Christmas day dinners has been produced. First Night celebrations 12/31/16 through Historical Society. Fort Worden offering multi- Strange Brew Fest in January will be welcome boost to winter lodging. Gateway VIC Bill reported that VIC is open throughout the holidays. Thanks to a strong team of volunteers all returning to duty in 2017. Bill is very appreciative of their excellent dedication and service. Adjournment - There being no further business, the TCC meeting was adjourned at 11:47 am, ADJORN Next meeting of TCC is scheduled for January 10, 2017 10AM at the Inn at Port Ludlow.
