HomeMy WebLinkAboutM100918 Tourism Coordinating Council – Jefferson County Minutes of the Meeting of the Coordinating Council October 9, 2018 (DRAFT) The October 9, 2018 meeting of the Tourism Coordinating Council (TCC) for Jefferson County, was called to order at 10:06 am by TCC chair Bill Roney, noting a quorum was present. • Voting Members present were: Marsha Massey, Joy Baisch, Shannon Allman-Meyers, Aaron Terada, Crystie Kisler and Cleone Telling • Partners Present: Commissioner Kathleen Kler, Christina Pivarnik • Guests: Jeff Bowman and Jeff Selby of Pacific Trails Coalition (PCT) • TCC Marketing Coordinator present: Steve Shively CALL TO ORDER Minutes from previous meetings were reviewed, and a vote to approve TCC minutes from the meetings conducted on September 11, 2018 were moved by Joy Baisch and seconded by Shannon . Approval for motion was unanimous. MINUTES REVIEWED Steve reviewed the TCC 2018 September financials with TCC. Noting that JeffCo. budget committee is reviewing LTAC revenues exceeding MTD budget by +17.2%, resulting in a YTD positive revenue to budget difference of +10.3%. This leads a comparable JeffCo. General Sales Tax YTD revenue to +3.81% better than budgeted. TCC’s fall and winter campaign spending is underway and on track. Approval of the September TCC Financial report was moved by Joy Baisch and seconded by Shannon Allman-Meyers. Approval for action was unanimous. Commissioner Kathleen Kler briefed TCC on a variety of issues and updates. Including: • Shared the good news of Indigenous People’s Day with 3 Coastal Tribes represented and honored with a County proclamation. • Shoot Range ordinance has request public hearings be rescheduled to McCurdy Pavilion due to large crowds at original hearing. All previously submitted written testimony will be reentered at next meeting. All previously presented oral testimony will not be carried over as the original hearing was ruled invalid. • Acknowledged that BoCC has received a challenge from a 2019 LTAC applicant. Discussion that per RCW JeffCo. BoCC only gives a Yes or No approval to the recommendations of JeffCo. LTAC (Lodging Tax Advisiory Committee). OPTC Update: Marsha Massey updated TCC on OPTC (Olympic Peninsula Tourism Council) activities, highlighted by the Fall 2018 Marketing Update. Inclussive of: • Current and upcoming print and co-opt advertising. • Digital advertising. • Transit Co-Opt ads in Seattle, Tacoma and Portland • SeaTac airport “Spotlight” display ad and digital marketing campaign in Texas, Arizon and California c/o Port of Seattle grant • Fall FAM (Familiarization) tours include Herrmann Global media, plus UK and German media outlets. • The new OlympicPeninsula.org is live and already getting great reactions. • Thanks to all who have responded to the DesinationNEXT analysis survey. Findings will be summarized at the Olympic Peninsula Tourism Summit in Port Angeles (Oct 31 – Nov 2). DesinationNEXT will summarize the results of over 200 destination analysis surveys sent out to TCC and other tourism stakeholders in advance of the Summit. Overall conference focus will be on Sustainable Tourism indicators and strategies. TCC FINANCIALS REVIEWED COMMISSIONERS UPDATE OPTC UPDATE Olympic Discovery Trail (ODT) news & briefing – Jeff Bohman and Jeff Selby shared with TCC the 30 progress of the PCT and great strides towards completing the ODT. Jeff Bowman enthusiastically noted that the PCT/ODT has “A tiger by the trail” as he discussed the steps being negotiated to secure the coasts Forks to Sapho and sound’s Anderson Lake to Discovery Bay segments of the 130 mile trail. TCC was thanked for the ongoing support. 2019 TCC budget revision – LTAC was challenged with more funding requests than they had budget allocation to award. TCC’s request for $195,000 was approved at the modified allocation level of $179,397. Motion to approved revised 2019 TCC budget moved by Crystie Kisler, second by Clone Telling. Approval for action was unanimous. Steve and Bill presented TCC with a revised 2019 budget factoring in necessary campaign area reductions in order to fit the $179,397 amount. They included reductions to initial proposals in the areas of: Brochure & Distribution, Opportunities, Ad creative, Digital Marketing and on- going Sustainable Tourism initiatives. Steve briefed TCC on various marketing highlights. Including: Reported that the 2019 TCC LTAC funding application has been submitted. • Digital campaign placement throughout SeattleRefined website and TCC sponsored article 250,000 guaranteed impressions. • Fall marketing focus on two Fall & Winter traveler personas; Relax & Renew and Enjoy Outdoors Fun. These messages are well supported thanks to wonderful custom videos by John Gussman and accompanying itinerary details on the TCC’s interactive UTrip feature cross-linked at visit.EnjoyOlympicPeninsula.com • Steve briefed TCC on OTT. OTT stands for “over-the-top,” the term used for the delivery of film and TV content via the internet, without requiring users to subscribe to a traditional cable or satellite pay-TV service like a Comcast or WAVE Cable. TCC will run between 10/15- 11/15/18 a 30-sec video commercial edit of our Fall & Winter Enjoy Outdoor Fun to a defined Seattle are of 83,333 OTT viewers. • Fall Bounty continues celebrations of our regions Ag bounty. Farm Tour and CrabFest both highly successful initial reports. Next up are Apple & Cider Fest, Local Food Expo and Harvest Wine & Cider tour. • Jonathan Tourtellot, Founding Director National Geographic’s Center for Sustainable Destinations. Jonathan will be – quickly – toured around east Jefferson en route to keynotes at the Olympic Culinary Loop’s “Lunch & Learn” (10/31) and the OPTC Tourism Summit (11/1) in Port Angeles Area Updates: Port Ludlow – Shannon shared Port Ludlow’s continual emphasis on collaboration. Positing and packaging Port Ludlow as the visitor’s ‘basecamp’ has been successful for CrabFest and upcoming Apple & Cider promotions. Thanksgiving (with plenty of left-overs to take home) is filling fast. Introduction of a community table is very exciting. Reservations for the 2PM seating are underway. Port Townsend & WTA– Christina reported excellent inspiration from attending a recent digital storytelling workshop held in conjunction with WA Scenic Byways. Winter and Holiday “Come Back – escape to Port Townsend, Relax, Refresh, Renew” campaign underway in coordination with Mainstreet. Fall Wooden Boat and Film festivals were fantastic. NEW BUSINESS TCC MARKETING COORDINATORS REPORT AREA UPDATES Art Walk and Key City Players original product are very well done and welcoming. FAM tour with Irish travel writer focusing on the Chimacum Cider trail for Aer Lingus’ new nonstop service between Dublin and SeaTac. Fort Flagler – Aaron reported that the Park survived a busy summer. Two successful concerts utilized the beach vs Battery Bankhead as a very inviting venue. Park has just moved into seasonal closed at dusk winter hours. Capital renovations of the first of their 13 historic buildings is underway. This will limit winter roofed rental inventory, but will not impact the group ELC (Environmental Learning Center) nor lower campground availability. Still hosting full campgrounds due largely to advance registration system and WA State Parks popular off-season senior campground discounts. Annual Friends of Fort Flagler meeting is calendared for November 15. Gateway VIC – Bill reported that seasonal hours of 10AM – 4PM daily are now in effect for the Olympic Peninsula Gateway Visitor Information Center. Fall work includes painting and on-going parking lot work. Bill offers endless kudos to his great team of volunteers. Quilcene – Cleone reported that the Quilcene Oyster Races had near record turnout for their September 16 event. They were very pleased with the same weekend collaboration with Jefferson Co. Farms Tour. The current issue of Rachel Hansen’s Fjord Magazine has wonderful content regarding the area. Winter work on the Worthington House will focus on kitchen restoration. Tri Area – Chimacum – Crystie reported that Labor Day was the busiest ever for Finnriver. They are working with Hama Hama Oyster Co. on a permanent “Oyster Outpost” at the Finnriver tasting center. Hours will be 12noon-9PM daily throughout winter. Tri Areas is gearing up for the big 100 year celebration of the Chimacum Grange.
