HomeMy WebLinkAbout051021_cabs02 JEFFERSON COUNTY BOARD OF COUNTY COMMISSIONERS COUNTY ADMINISTRATOR`S BRIEFING TO: Board of County Commissioners FROM: Mark McCauley,Interim County Administrator/Central Services Director Philip Hunsucker,Chief Civil Deputy Prosecuting Attorney DATE: May 10,2021 SUBJECT: Briefing to the Board of County Commissioners: Laserfiche Contracts Work Flow STATEMENT OF ISSUE: A number a years ago the Board of County Commissioners authorized the purchase of Laserfiche's Work Flow module. Staff made a presentation to the Board showing the productivity improvements that could be achieved by automating certain routine functions. Dave Olsen, our IT network manager has since developed a number of work flows for various departments that have proven to be labor saving and productivity enhancing tools. Departments that have thus far benefitted from Dave's work include the County Clerk's office,the Treasurer's Office,the Sheriff's Civil Deputies Office,District Court and the Prosecuting Attorney's Office. ANALYSIS: A work flow developed with help from Laura Mikelson and Philip Hunsucker, of the Prosecuting Attorney's Office, is the Contracts Work Flow,which has been available for use for over a year. We have successfully tested this work flow with Public Health, Public Works and the Prosecuting Attorney's Office. The interim County Administrator began using this work flow on May 6, 2021. This work flow allows various parties connected the County network to review and approve contracts online with no paper that can be misplaced or spoiled. Staff desires an opportunity to share this work flow with the Board to solicit their approval to continue refinement of this productivity enhancing tool, including making it available county-wide. Staff will make a presentation demonstrating how the work flow works. Input from the Board will be welcomed. FISCAL IMPACT: This request has no budget impact.
