HomeMy WebLinkAbout40 21 (c% -f\ki_') wos STATE OF WASHINGTON COUNTY OF JEFFERSON IN THE MATTER OF } INCREASING PETTY } CASH IN THE SOLID } WASTE FUND } RESOLUTION NO. 40 21 WHEREAS, the most secure means of depositing revenues from the Quilcene Rural Drop Box Facility is by armored vehicle services, and; WHEREAS, the use of armored vehicle services at the Quilcene Rural Drop Box Facility will change the time between deposits, and WHEREAS, the use of armored vehicle services at the Quilcene Rural Drop Box Facility will require an additional change bag, and WHEREAS,the Quilcene Rural Drop Box Facility is experiencing record customer transactions, and WHEREAS, the revised deposit schedule, addition of a change bag and increased transaction numbers require an increase to the petty cash fund balance to provide adequate drawer balances, and WHEREAS, a$1,550.00 transfer into the petty cash fund would provide the necessary margin of cash during high customer demand at the Quilcene Rural Drop Box Facility, IT IS HEREBY RESOLVED,that the Jefferson County Solid Waste Petty Cash Fund be increased from $250.00 to $1,550.00 and the County Treasurer be authorized to issue a Treasurer's check in the amount of$400.00, payable to the Jefferson County Solid Waste Fund. Analysis/Strategic Goals/Pro's Et Con's: Use of County staffing for transport of cash from the Quilcene facility requires three roundtrips per week from Quilcene to Port Townsend. This creates risk to the employee and a new liability for the County. Armored vehicle service to the Quilcene facility could be arranged by an amendment to the current service agreement with Loomis Armored US, LLC for cash transport services for the Jefferson County Transfer Station. Fiscal Impact/Cost Benefit Analysis: Cash transport by County staff is estimated to cost $8,684/yr. whereas service by Loomis Armored US, LLC is estimated at $3,533/yr. Service by Loomis Armored US, LLC would also eliminate the risk to employees and County liability. Recommendation: Increase the Jefferson County Solid Waste Petty Cash Fund for the Quilcene Rural Drop Box by authorizing the County Treasurer to issue a Treasurer's check in the amount of $1,550.00, drawn from the Jefferson County Solid Waste Fund Balance and made payable to the Jefferson County Solid Waste Fund.
