HomeMy WebLinkAbout012 03 " OI.~ ~~.11'/)~ STATE OF WASHINGTON COUNTY OF JEFFERSON In the Matter of Reimbursement to Certain County Officials for Use of Personal Vehicles RESOLUTION NO. 12-03 WHEREAS, the elected Board of County Commissioners as well as the County Administrator and Central Services Director have official duties and responsibilities which require the use of a motor vehicle; and, these duties and responsibilities are such that they require the use of a County owned vehicle or reimbursement to these officials for the use of a private vehicle; and WHEREAS, payment of a personal vehicle allowance was originally authorized for each Commissioner in 1991 (Resolution No. 117-91); and, WHEREAS, after reviewing this program and in respect to the change in the IRS rate for mileage, the savings and benefit to the County are based on the following findings of fact: ~ These County officials average in excess of 1,000 miles per month in the performance of their official duties and responsibilities. ~ The monthly cost to operate and maintain a County owned vehicle for an Officials use in 2002 was in excess of $500 per month including depreciation, fuel, repairs and maintenance. ~ The IRS rate for mileage reimbursement in 2003 is $.36 per mile. ~ Reimbursement on a monthly basis at a rate of$360.00 per month is a cost savings to the County. NOW, THEREFORE, BE IT RESOLVED, that based on the foregoing findings of fact, the County Administrator and Central Services Director as well as each County Commissioner are each hereby authorized to utilize his/her private automobile for all transportation in the performance of their official duties for Jefferson County for which payment of $360.00 per month shall be made by a vouchered expense claims warrant; provided, however, that this resolution shall not require any current or future persons holding these positions, to use a County car, in lieu of this, or an appropriate reimbursement, if he or she so chooses. BE IT FURTHER RESOL VED, that the monthly payment amount shall automatically change with any change in the standard IRS rate. The monthly payment amount is determined by taking the standard IRS rate times 1,000 miles per month. BE IT FURTHER RESOLVED, that this payment shall be in lieu of the use of any County owned vehicle-and shall be full payment for all automobile expenses incurred while on official çounty business, except that in any month that an Official receiving this monthly allowance can ,.: document that they'tr~veled over 1,000 miles in their person~l car on County business they may be reimbursed for the mil~8 in excess of 1,000 at the standard IRS rate.
