A lG9sN7 NG�O� MINUTES Lodging Tax Advisory Committee (LTAC) Special Meeting Minutes August 3, 2021 —3:30 p.m. Jefferson County Commissioners Chambers (Virtual Meeting) Members: Chair Heidi Eisenhour, Diana Smeland, Shelly Leavens, Larry McKeehan, Joe Alfano Staff: LTAC Clerk Adiel McKnight Chair Heidi Eisenhour called the meeting to order at 3:35 p.m. Members Shelly Leavens and Larry McKeehan participated in the meeting remotely. Member Smeland and Member Alfano were not present. Approval of Special Meeting Minutes: Member McKeehan moved to approve the Special Meeting Minutes of July 16, 2021 as presented. Member Leavens seconded the motion. The motion carried. Discussion re: LTAC Rating Tool: Chair Eisenhour presented a tool she created for rating Request for Proposals (RFP)'s. Discussion re: Review of 2021 Grant Funding Supplemental Awards and Possible Adjustments: Tourism Coordinating Council (TCC) Marketing Coordinator Steve Shively, gave a presentation on the TCC's request of supplemental funds in the amount of$60,000 for promotions. Forks Chamber of Commerce Executive Director Lissy Andros gave a presentation on the supplemental funds in the amount of$14,000 for staffing and promotions. Olympic Peninsula Gateway Visitor Center Manager Bill Roney gave presentation for their request of supplemental funds in the amount of$10,000 for deferred maintenance. He also asked to reach out to Jefferson County for possible assistance with maintenance to mitigate costs. Quilcene Historical Museum Board Chair Christine Satterlee gave a presentation for their request of supplemental funds in the amount of$10,906 for promotions. After discussion, the committee concurred to granting the following: Tourism Coordinating Council: $60,000 Forks Chamber of Commerce: $14,000 Jefferson County Historical Society—Gateway Visitor's Center: $10,000 Quilcene Historical Museum: $10,906 Total: $94,906 Member Leavens moved to approve all four (4) proposals for this supplemental round. Member McKeehan seconded the motion. Motion carried. Discussion re: Funds available for 2022: The committee agreed to send out RFP's in September 2021 and hold another special meeting in October 2021 to review RFP's, and advise. Lodging Tax Advisory Committee Special Meeting Minutes of August 3, 2021 Discussion re: Future Agenda Items to be discussed: Chair Eisenhour would like to further a discussion the effects of COVID and what we are learning and experiencing on the Peninsula that are affecting staffing for businesses. Member Leavens would like to further a discussion on a conversation that prior Chair Brotherton advised LTAC that there may be a law to provide a percentage of LTAC funds to go towards housing.
