ANALYSIS: Jefferson County has been planning and executing a project involving the migration of servers and related equipment located in the County's Courthouse to the Sheriffs Administration building located in Port Hadlock.The project was initiated by Dave Olsen,who left the county prior to project completion. DJ Dimick picked up management of the project prior to leaving the county. Mikey Forville has assumed project management duties with the help of our newly hired IT staff. This project is vital to the county's information systems for a number of reasons. • First,the Courthouse has no back-up power source. This means that during power outages that last more than a few minutes the uninterrupted power supply runs out of battery power bringing all systems down.To preclude that from happening IT staff attempt to shut systems down in an orderly manner,which sometimes can't happen. Bringing systems back up that haven't been shut down in an orderly manner is labor intensive and time consuming.The Sheriff's Administration building has back-up generator power,which solves that problem. • Second,the Courthouse is not seismically sound-it is held together by gravity and mortar. In the event of a major earthquake the entire structure could come crashing down,destroying the servers and a major section of the county's network.The Sheriff's Administration building is seismically sound,which solves that problem. Because of the fragmented management of the project over the last several years the cost has not been fully budgeted. IT staff are now on the cusp of being able to complete the project but need the resources to do so. Attached is a quote from Dell,our project vendor since its inception,to complete the server migration. FISCAL IMPACT: The cost to complete the migration is$228,853.09 to be paid for from General Fund monies transferred into the IT Fund. RECOMMENDATION: That the Board of County Commissioners approve moving ahead with the migration and committing to funding the project through a 3'Quarter appropriation.
